We are looking for an Executive Assistant to with 5+ years of experience providing comprehensive support to multiple executives. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Requirements

  • Significant executive support experience, 5+ years, including supporting multiple executives at once
  • High degree of professionalism in dealing with various groups of people, including Board Members, the Executive Committee, staff, and clients
  • Ability to complete a high volume of tasks and projects with little to no guidance
  • Ability to react with appropriate urgency to situations and events that require quick response or turnaround
  • Ability to maintain a high level of integrity and discretion in handling conditional information
  • Demonstrated capacity to think and work proactively and strategically in resolving challenges
  • Expert proficiency with Microsoft Office
  • Exceptional organizational skills and impeccable attention to detail
  • Excellent written and verbal communication skills
  • Team player; ability to interact effectively with multiple levels of the organization and maintain strong relationship with peers, internal clients, and external parties
  • Adaptability and flexibility are required; ability to work under pressure and beyond standard hours during busy periods
  • Personable, warm, engaging; Client first attitude

Responsibilities

  • Provide sophisticated calendar management: Prioritize inquiries and requests while troubleshooting scheduling conflicts, make judgements and recommendations to ensure smooth day-to-day engagements
  • Act as a liaison and provide support to members of the Executive Committee: Serve as coordinator (including arranging and handling all logistics) for meetings and other executive events and meetings
  • Complete a broad variety of administrative tasks: Maintaining contact lists, making travel arrangements, completing expense reports, assisting with special projects
  • Work closely with all members of the Executive Committee to keep them informed of upcoming commitments and responsibilities, following up as appropriate
  • Provide event management support as requested
  • Cover tasks and responsibilities for other CSS/CSA when they are out of the office.
  • Multi-task, organize and complete all other projects as assigned by multiple members of the executive committee
