NovelliaNew York, NY
Onsite

About The Position

Novellia is the first and only company that lets anyone in the U.S. gain access to nearly a decade of their health data in under 30 seconds — 100% free. All your health records, across every doctor, in one place, always up to date. We are the only patient-powered real-world data platform delivering comprehensive, patient-authorized longitudinal health insights to accelerate biopharma innovation. Unlike traditional RWD providers who deliver fragmented institutional data, we empower patients to access 20+ years of their health records, then transform these complete health journeys into fit-for-purpose datasets for evidence generation, regulatory submissions, and market access. We are growing 5x year over year, have raised close to $30M in funding, and are backed by tier-1 investors including Spark Capital, Khosla Ventures, and Bling Capital. Working with the world's top researchers, we turn health insights into life-changing action for millions of people around the world.

Requirements

  • Proven experience as an Executive Assistant supporting a senior executive (CEO/Founder experience strongly preferred), ideally at a startup or fast-paced company.
  • Deep familiarity with New York City: restaurants, venues, neighborhoods, and logistics; with the judgment to make strong recommendations independently.
  • Demonstrated ability and willingness to be responsive outside traditional business hours, including early mornings and evenings.
  • Strong organizational skills with experience managing complex, shifting calendars for multiple stakeholders.
  • Experience coordinating domestic travel arrangements.
  • Excellent judgment, discretion, and the ability to represent the CEO professionally in written and verbal communication.
  • Comfort operating in ambiguity and adapting quickly as priorities shift.

Responsibilities

  • Own and manage complex calendars for the CEO and other members of leadership, including scheduling in-office interviews and internal/external meetings, resolving conflicts, and proactively flagging scheduling issues before they become problems.
  • Plan and book all travel logistics (flights, hotels, ground transportation) for the CEO, adapting quickly to last-minute changes.
  • Book meetings, client dinners, and other engagements across NYC, using strong local knowledge to select appropriate venues and manage reservations.
  • Be reliably reachable and responsive to the CEO's requests outside standard business hours (early AM / late PM), given the nature of his schedule and outreach patterns.
  • Understand enough about Novellia's business, priorities, and key relationships to make informed decisions on the CEO's behalf and prioritize competing requests appropriately.
  • Handle confidential and sensitive information with discretion and sound judgment, maintaining the highest level of trust and professionalism.
  • Act as a cultural ambassador in all interactions, embodying Novellia’s values through clear, thoughtful, and respectful communication with employees, candidates, and external partners.
