About The Position

Gecko Robotics is seeking an experienced Executive Assistant to provide comprehensive support to the Chief Operating Officer (COO) and Chief Technology Officer (CTO). This onsite role in Pittsburgh involves managing complex calendars, coordinating domestic and international travel, anticipating executive needs, and ensuring efficient operations. The ideal candidate will act as a strategic partner, offering project management, prioritization, and communication support to enhance executive effectiveness. Key attributes include exceptional organization, sound judgment, curiosity, the ability to build context quickly, and strong relationship-building skills. Experience supporting leaders in technical environments is highly valued.

Requirements

  • 5+ years of executive support experience, including experience supporting VP-, C-suite-, founder-, or similarly senior leaders in a fast-paced organization.
  • Demonstrated ability to operate as a trusted partner to senior executives.
  • Exceptional judgment and discretion, particularly when handling confidential information and sensitive executive matters.
  • Proven ability to anticipate needs, prioritize independently, and make sound decisions without constant direction.
  • Experience managing complex calendars, travel, executive meetings, and competing priorities in a fast-moving environment.
  • Strong written and verbal communication skills, with the professionalism and executive presence to work effectively with senior internal and external stakeholders.
  • Highly organized and detail-oriented, with strong project management and follow-through skills.
  • Resourceful, proactive, and comfortable operating through ambiguity and changing priorities.
  • A natural connector who builds trust across teams, brings people together, and helps create a strong sense of community around the leaders and teams you support.
  • Ability and willingness to work onsite in Gecko’s Pittsburgh office.

Responsibilities

  • Own complex calendar management for the COO and CTO, using strong judgment to prioritize competing demands and protect time for the highest-impact work.
  • Coordinate domestic and international travel, expenses, meetings, and logistics with a high degree of accuracy and anticipation.
  • Build context around executive priorities so you can proactively identify conflicts, prepare materials, surface decisions, and drive follow-through.
  • Support leadership meetings, planning sessions, offsites, action tracking, and cross-functional initiatives.
  • Oversee select projects from conception through completion, ensuring the right context reaches relevant stakeholders and commitments stay on track.
  • Prepare the COO and CTO for important internal and external meetings, including agendas, briefing materials, and follow-up actions.
  • Act as a connector across the organization, proactively bringing the right people together, strengthening relationships, and creating opportunities for alignment and collaboration.
  • Help manage key external relationships with customers, partners, candidates, advisors, academics, and other stakeholders as needed.
  • Partner with other Executive Assistants to coordinate priorities and optimize schedules and operating rhythms across the leadership team.
  • Identify opportunities to improve and standardize executive-office processes as Gecko scales.
  • Provide in-person support for important internal and external meetings and events, and occasionally manage event logistics end to end.
  • Handle sensitive and confidential information with excellent judgment and discretion.
  • Work flexibly when business needs require early mornings or evenings and travel up to 20% of the time.
