About The Position

We are seeking an exceptionally organized, proactive, and discreet Executive Assistant (EA) to support the General Manager of Ichor Systems, US Machining. Based in Sauk Rapids, MN this role is central to enabling the Site leader’s effectiveness by ensuring strong coordination, communication, and execution rhythm across global teams, internal leadership, and key external stakeholders—including customers and suppliers. The ideal candidate is highly responsive, confident in managing complex logistics, and thrives in a fast-paced environment where priorities shift quickly. This position requires someone who is not only organized and approachable but also trustworthy and capable of serving as a EA.

Requirements

  • 8–10+ years of experience supporting senior managers in a dynamic, fast-paced, global organization.
  • Proven ability to manage multiple competing priorities with discretion, agility, and sound judgment.
  • Track record of supporting leaders who manage complex operational environments and customer-facing responsibilities.
  • Excellent communication, organizational, and interpersonal skills.
  • High attention to detail with the ability to work independently and anticipate needs.
  • Strong sense of ownership and service orientation; approachable and professional demeanor.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Bachelor’s degree or equivalent combination of education and experience.

  • Experience interfacing with customers, suppliers, or partners on behalf of an executive.

Responsibilities

  • Provide high-level administrative support to the GM to ensure efficient operations and optimal use of time.
  • Coordinate a global calendar with frequent international travel, ensuring alignment across time zones and organizational priorities.
  • Maintain cadence and follow-through on key meetings, operational reviews, and strategic projects—driving accountability and organization-wide visibility.
  • Prepare and coordinate meeting materials, presentations, and agendas for executive staff meetings, customer and supplier briefings, and internal forums.
  • Serve as a point of contact for the GMO with global leaders, employees, and external partners, demonstrating professionalism and good judgment.
  • Track action items, proactively manage deadlines, and ensure timely follow-up and closure.
  • Manage travel planning, logistics, and expense reporting with accuracy and foresight.
  • Support internal communications to promote engagement, clarity, and alignment within the IPM MN organization.
  • Partner with the GM and other executive assistant staff on cross-functional coordination and provide backup support as needed.
