About The Position

Aerotek has an immediate opening for an Executive Assistant at the corporate office in Hanover, MD. The Executive Assistant is responsible for providing high-level support to leadership teams and serves as a liaison between executives and internal partners. Responsibilities include but are not limited to managing complex calendars, overseeing travel logistics, supporting organizational changes, and managing ownership of special projects. Given the dynamic nature of the executive landscape, executive assistants are relied on to be strategic partners to the executive team.

Requirements

  • 4+ years of experience in administrative role reporting directly to upper management
  • Experience in overseeing budgets and expenses
  • Excellent written and verbal communication skills
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
  • Flexible team player, willing to adapt to changes and unafraid of challenges
  • Ability to maintain confidentiality of information related to the company and its employees

Responsibilities

  • Serve as a primary contact for the executive level leadership team
  • Maintains and updates calendars and coordinates scheduling and conference calls
  • Stakeholder management: manage key internal/external relationships, route requests, and ensure timely responses on executive’s behalf
  • Manage executive leaders’ travel and logistics for business trips, including booking travel, preparing itineraries and supporting executives
  • Provide high-level administrative support to the executives of varying levels, such as presentations, reports, itineraries, personal expense reports, and meeting notes
  • Partner with finance to create and manage executive reports
  • Organize and plan events from concept to completion. Expected to ensure seamless execution, high-touch hospitality, and alignment with company goals.
  • Manage complex logistics, vendor partnerships, and stakeholder communication in coordination of events.
  • Plan and execute regional conference calls
  • Assist Directors and local offices within the region/department with all offsite events, projects and regional needs
  • Partner, assist and build relationships with the field directors associated to their executive
  • Managing documents and confidential information with appropriate discretion
