About The Position

We are seeking a highly dynamic Executive Assistant to support C-level executives. This role is perfect for a tech-savvy candidate, emphasizing digital skills, adaptability, and a startup mentality can be particularly advantageous in today's fast-paced business environment. This position offers structured mentorship, hands-on experience across a broad range of business functions, and opportunities to contribute directly to high-impact business initiatives. You’ll balance calendar management, meeting and event coordination, with opportunities to own projects across many different operational functions. We are an AI-first company. We're a team of builders. That means the person who spots the problem is usually the person who fixes it, and "someone should build a tool for that" is treated as a volunteer sign-up sheet. We use AI and automation tools to move faster, and expect you to figure things out when the path isn’t obvious. If you prefer established processes and clearly defined lanes, you probably won’t like it here.

Requirements

  • A minimum of 5 years of experience as an executive assistant.
  • Exceptional time management and organizational skills, with the ability to prioritize and manage multiple responsibilities in a fast-paced environment.
  • Highly detail-oriented, responsive, and proactive, with the initiative to anticipate needs and execute upcoming tasks and projects.
  • Flexible and solutions-focused, with the ability to adapt calmly to last-minute changes, anticipate challenges, and resolve issues effectively.
  • Sound judgment and discretion when handling sensitive or confidential information.
  • Strong written and verbal communication skills, with the ability to build collaborative relationships and interact professionally with stakeholders at all levels, including C-suite executives.

Responsibilities

  • Enhance the executives' efficiency and effectiveness through comprehensive support.
  • Organize and manage all aspects of internal and external meetings, including logistics, agendas, and communications.
  • Arrange all travel details, such as booking flights, hotels, ground transportation, and handling visas and passport renewals.
  • Support with planning, coordination and execution of team events.
  • Handle monthly expense reports, global credit card reconciliation, and offer backup support to other assistants.
  • Prepare meeting briefs, summarize relevant background information, and identify key discussion points or follow-up items.
  • Research and compare travel options, venues, vendors, and event logistics to streamline planning and decision-making.
  • Support expense reporting and reconciliation by organizing information, identifying discrepancies, and flagging items requiring review.
  • Create repeatable workflows, templates, and automations that improve administrative efficiency, while applying sound judgment and maintaining confidentiality.
