WABC-TV is seeking a highly organized, proactive, and detail-oriented Executive Assistant. Reporting to the President and General Manager, this position serves as a trusted partner responsible for managing executive priorities, coordinating key initiatives, and ensuring the smooth day-to-day operation of the General Manager’s office. The ideal candidate thrives in a dynamic environment, exercises sound judgment, maintains confidentiality, and can effectively manage multiple priorities while building strong relationships across all levels of the organization.
Requirements
- Minimum 2 years of executive support experience supporting senior leaders or executives.
- Exceptional organizational, communication, and time management skills.
- Strong ability to manage multiple priorities and adapt to changing business needs.
- Demonstrated discretion and ability to handle confidential information.
- Computer proficiency in Microsoft Office applications, including Outlook, PowerPoint, Excel, Word, and Teams.
Nice To Haves
- At least 4 years’ experience supporting executives in media, broadcast television, entertainment, or similarly fast-paced industries.
- Familiarity with project management and collaboration tools.
- Experience using enterprise systems such as Workday and SAP for activities including requisition management, expense reporting, procurement requests, approvals, and organizational reporting.
- Familiarity with AI-enabled workplace tools and a demonstrated ability to adopt new technologies that enhance productivity and operational effectiveness.
Responsibilities
- Provide primary administrative support to the President and back up support to other senior executives
- Perform overall administrative duties to include, but not limited to, answering and screening incoming phone calls, scheduling meetings and maintaining extensive calendars, handling the preparation and processing of expense reports, auditing expense reports for the group, processing invoices and intercompany purchase orders.
- Supply additional office support such as distributing mail, filing, photocopying, scanning and tracking documents, and word processing
- Manage the planning, coordination, and execution of business travel, including trip logistics and itinerary, meeting coordination, as well as remote support
- Partner with station leaders across News, Community, Broadcast Technology, Creative Services, Programming, Digital, Finance, Human Resources, and corporate teams.
- Serve as a liaison with employees, corporate partners, community organizations, and external stakeholders.
- Handle sensitive and confidential information with professionalism and discretion.
- Participate in the administrative team, providing backup to other assistants and contributing to common administrative duties
- Support special projects and perform other duties as assigned.
