About The Position

This role is for an Executive Assistant who will support two Vice Presidents of Operations and a diverse portfolio of clinical and operational teams. This is more than a traditional administrative support role. The Executive Assistant is a trusted partner who helps create organization, connection, and momentum across a complex and fast-moving environment. The right person will understand what needs attention, anticipate what is coming next, and help ensure priorities move forward even when there are many competing demands. This role is ideal for someone who enjoys being behind the scenes while having a meaningful impact on the work of a large, complex healthcare operation. It requires someone who can move comfortably between details and strategy, routine administrative work and unexpected priorities, and independent ownership and close partnership. Above all, we are looking for someone who sees their role not simply as managing a calendar, but as helping a leader and the teams they support be more effective.

Requirements

  • Associate degree in a secretarial or related field or equivalent three years Administrative Assistant work experience is required.
  • Is highly organized without needing everything around them to already be organized.
  • Anticipates needs rather than waiting for a task list.
  • Has excellent judgment and knows when to act independently and when to ask.
  • Can comfortably manage multiple priorities and frequent changes without losing sight of what matters.
  • Communicates clearly, professionally, and with good judgment.
  • Builds relationships naturally and works effectively with many different personalities and roles.
  • Is comfortable interacting with senior executives and physicians while remaining equally approachable to frontline team members.
  • Notices details while still understanding the bigger picture.
  • Is curious and willing to learn the business and the clinical operations they support.
  • Can respectfully push back, ask questions, and help protect priorities when needed.
  • Handles confidential and sensitive information with discretion.
  • Takes ownership. If something falls within their world, they help get it to resolution.

Responsibilities

  • Proactively manage a complex calendar, balancing competing priorities and protecting time for the work that matters most.
  • Coordinate meetings, prepare materials, organize agendas, and ensure appropriate follow-up.
  • Anticipate upcoming needs, deadlines, decisions, and potential conflicts before they become urgent.
  • Track commitments and action items and help ensure important work does not get lost between meetings.
  • Help organize information so decisions can be made efficiently.
  • Serve as a key point of connection between the VP, directors, physicians, executive leaders, team members, and other partners.
  • Build strong relationships across departments and levels of the organization.
  • Know when something simply needs to be handled, when the VP needs to be informed, and when an issue requires immediate attention.
  • Help people navigate to the right person or resource rather than simply passing along requests.
  • Help prioritize incoming requests, meetings, correspondence, and information.
  • Prepare and organize presentations, communications, meeting materials, reports, and other executive-level documents.
  • Recognize patterns, competing priorities, and gaps that may not be obvious when looking at individual requests.
  • Ask thoughtful questions when something does not make sense or when additional information is needed.
  • Bring structure to work that may initially be ambiguous or still taking shape.
  • Interact professionally and warmly with employees, physicians, patients, leaders, and external partners.
  • Exercise excellent judgment and discretion with sensitive and confidential information.
  • Understand that how people experience the Executive Assistant is often how they experience the VP's office.
  • Help create an environment that is responsive, approachable, organized, and respectful.
