About The Position

Wellington’s Legal and Compliance function operates in a highly regulated, fast-moving environment with frequent client interaction and firmwide regulatory touchpoints. The Executive Assistant (EA) provides high-judgment administrative support to assigned stakeholders, helping them operate effectively while maintaining strong attention to confidentiality and detail. This role serves as a key gatekeeper and coordinator, requiring discretion, sound judgment, and the ability to prioritize across competing demands. The EA is expected to be proactive and anticipatory, managing complex logistics and enabling leaders to stay focused on their highest priorities. We believe that being together in person better equips us to respond to dynamic business and technology needs. Our current hybrid model—four days in the office and one day remote—supports collaboration while offering thoughtful flexibility.

Requirements

  • Minimum of 3 years of experience supporting senior stakeholders, or 5 years in a comparable administrative role.
  • Prior experience in a law, accounting, audit, or other regulatory setting is strongly preferred.
  • Experience operating in a fast-paced, deadline-driven environment with competing priorities
  • Demonstrated ability to handle sensitive and confidential information with discretion and professionalism
  • Strong organizational skills and attention to detail, with the ability to manage multiple workstreams simultaneously
  • Proactive mindset with the ability to anticipate needs and solve problems with limited direction
  • Strong judgment and decision-making skills, a trusted thought partner for supported stakeholders
  • Clear and effective communication skills, both written and verbal
  • High level of professionalism and reliability
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint, OneNote) and comfort learning new tools
  • Ability to build strong relationships and work effectively across teams and functions

Responsibilities

  • Managing complex, high-volume calendars with a focus on prioritization, conflict resolution, and forward planning
  • Coordinating logistics for internal and external meetings, including regulatory and governance forums, across multiple time zones
  • Preparing meeting materials and ensuring stakeholders are set up with the appropriate context and information
  • Supporting due diligence processes for client interactions, including coordinating inputs, tracking requests, and maintaining accurate records
  • Managing a high volume of communication with discretion, exercising judgment in handling sensitive and confidential information
  • Coordinating domestic and international travel, where applicable, and resolving issues as they arise
  • Supporting expense tracking and submission to ensure timely and accurate reporting
  • Preparing and formatting materials (Word, Excel, PowerPoint, OneNote) for internal and external use
  • Partnering with stakeholders, peers, and cross-functional groups to support team operations and ensure alignment
  • Tracking action items and supporting follow-through on key team priorities
  • Providing cross-coverage and backup support for other assistants
  • Supporting ad hoc projects and broader team initiatives as needed
