About The Position

The Executive Assistant provides high-level administrative and strategic support to senior executives and leadership teams, by ensuring crucial support and smooth day-to-day operations to the Executive Vice President, Chief Marketing Officer. This role requires discretion, confidentiality, sound judgment, and organizational knowledge to support executive priorities.

Requirements

  • Minimum of 2 years experience as an administrative assistant.
  • Advanced knowledge of Microsoft Office Suite (Word, Excel and PowerPoint).
  • Experience working in large, complex organizations with extensive stakeholder management.
  • Impeccable organizational skills, autonomy, and solution-oriented attitude.
  • High level of discretion required when dealing with confidential matters.
  • Strong ability to effectively perform in a complex, high changing environment.
  • Solid time management, communication (verbal and written), and presentation skills.

Responsibilities

  • Provide senior-level administrative, calendar, and time management support to the EVP, Chief Marketing Officer.
  • Manage complex calendars, prioritize meetings, resolve scheduling conflicts, and ensure executives stay on track with their daily, weekly, and strategic goals.
  • Coordinate meetings and events, including logistics, materials, minutes, offsites, community events, and external functions.
  • Oversee incoming and outgoing communications, including emails, phone calls, reports, and internal correspondence.
  • Prepare, gather, and verify information for executive communications, reports, presentations, speeches, and meeting materials as needed.
  • Organize executive travel arrangements and logistics, including flights, hotels, transportation and building itineraries.
  • Process expense reports, keeping track of standard expenditures and billing records.
  • Act as a key liaison and gatekeeper for internal and external stakeholders, including vendors, colleagues, clients, and customers.
  • Contribute to administrative process improvements and ensure alignment with global policies and business controls.
  • Support risk, compliance, operational, AML/ATF, sanctions, conduct, and business continuity requirements, including acting as the department Business Continuity Plan planner when required.
