JLL's Project & Development Services (PDS) Americas team is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support senior leadership located in the South Central Region. Requirements

  • 5+ years of experience supporting C-suite or senior executive-level leaders.
  • Prior experience in a corporate or professional services environment preferred.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams).
  • Experience with expense management platforms (e.g., PeopleSoft/Concur).
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to handle sensitive and confidential matters with professionalism and discretion.
  • Proactive, self-directed, and able to anticipate executive needs.
  • Flexible and adaptable in a fast-paced, constantly evolving environment.
  • Candidates must be authorized to work in the United States without sponsorship.

Responsibilities

  • Manage complex calendars for several senior executives, including scheduling internal and external meetings across multiple time zones, proactively identifying and resolving scheduling conflicts.
  • Coordinate all domestic and international travel arrangements including flights, hotels, and ground transportation, preparing detailed travel itineraries and managing last-minute changes.
  • Draft, edit, and proofread correspondence on behalf of executives, serving as a liaison between senior leadership and internal/external stakeholders while screening and prioritizing communications appropriately.
  • Prepare presentations, reports, and meeting materials to support executive decision-making, coordinating leadership team meetings, offsites, and town halls.
  • Capture and distribute meeting notes and action items while handling confidential and sensitive information with the utmost discretion.
  • Support special projects and strategic initiatives as needed, coordinating team events, conferences, and leadership gatherings while tracking deadlines and ensuring timely follow-up on open items.
  • Process and reconcile expense reports using PeopleSoft or similar tools, assisting with purchase orders, invoices, and budget tracking support.
