About The Position

We're looking for an exceptional Executive Assistant to partner with our US CEO and help drive operational excellence across a fast-growing global organization. This isn't a traditional administrative role. You'll be a trusted business partner responsible for maximizing the CEO's effectiveness by managing competing priorities, coordinating across international teams, anticipating needs before they arise, and ensuring seamless execution every day. You'll work closely with senior leaders across the US, supporting strategic initiatives while creating structure in a dynamic, fast-paced environment. Requirements

  • 3-5 years supporting senior executives.
  • Experience working in a fast-paced, high-growth or global organization.
  • Exceptional calendar management skills with experience coordinating across multiple time zones.
  • Extensive domestic and international travel coordination experience.
  • Outstanding written and verbal communication skills.
  • Strong project management and organizational abilities.
  • Proven ability to prioritize competing demands while maintaining exceptional attention to detail.
  • High degree of professionalism, discretion, and sound judgment when handling confidential information.
  • Ability to anticipate needs, think several steps ahead, and execute with minimal direction.

Responsibilities

  • Serve as a strategic partner and trusted advisor to the US CEO.
  • Anticipate priorities and proactively solve problems before they become obstacles.
  • Act as a gatekeeper while maintaining exceptional relationships across the business.
  • Help optimize the CEO's time to maximize focus on strategic initiatives.
  • Own an ever-changing executive calendar across multiple time zones.
  • Prioritize meetings while balancing business priorities, customer engagements, leadership meetings, and travel.
  • Coordinate complex scheduling across the US and Europe.
  • Plan and coordinate domestic and international travel from end to end.
  • Book flights, hotels, ground transportation, and meeting logistics.
  • Monitor travel disruptions and quickly adjust plans when needed.
  • Coordinate travel for executive leadership meetings, customer visits, conferences, and company offsites.
  • Draft, edit, and proofread executive emails, presentations, announcements, and other communications.
  • Prepare meeting agendas and presentation decks.
  • Ensure follow-up items are tracked and completed.
  • Organize executive meetings, leadership offsites, and strategic planning sessions.
  • Capture meeting notes and action items when needed.
  • Drive follow-up across cross-functional teams to ensure accountability.
  • Support special projects and strategic initiatives from planning through execution.
