About The Position

The Executive Assistant is a key member of the President’s Cabinet and provides leadership and operational oversight to the Office of the President in fulfilling the College’s mission and values. The Executive Assistant must possess a commitment to integrity and an ability to effectively support the President on a wide range of strategic issues. The Executive Assistant coordinates the operations and communications of the Board of Trustees and provides supervision to assigned office support staff.

Requirements

  • Bachelor’s degree in Business Administration, Public Administration, Communications or related field
  • A minimum of four (4) years of administrative experience
  • Two (2) years of which includes providing assistance to executive staff
  • Equivalent combination of education, training and experience

Responsibilities

  • Provides excellent judgment, diplomacy and understanding of the College issues to support the President.
  • Directs key projects under the supervision of the President to ensure objectives are completed in a timely and professional manner.
  • Oversees confidential projects on behalf of the President and provides confidential administrative support.
  • Researches and compiles a variety of materials from sources both inside and outside the President’s office.
  • Develops, administers and manages the President & Board of Trustees budgets.
  • Provides executive-level support to the President by managing daily operational tasks including, but are not limited to: responding to emails and phone calls professionally and promptly, processing and approving purchasing card statements, and reviewing and approving employee timesheets.
  • Manages the President’s calendar using discretion and judgement when and when not to schedule meetings and planning travel.
  • Makes decisions regarding the affairs of the President’s office by using tact, initiative, and sound judgement.
  • Advises the President on sensitive matters, news and concerns of the community and the College while maintaining confidentiality on sensitive topics.
  • Composes correspondence on behalf of the President’s Office and/or the Board of Trustees.
  • Maintains reasonable availability outside of regular business hours to assist with pressing, timely matters on behalf of the President’s Office.
  • Serves as the liaison to the Board of Trustees on program support activities and matters of institutional significance for the Board on behalf of, and in concert with, the President.
  • Maintains a working knowledge of the Board Bylaws and communicating compliance concerns to the Chair of the Board.
  • Coordinates trustee onboarding, training and professional development.
  • Drafts accurate and concise minutes, resolutions and policies on behalf of the President and the Board of Trustees.
  • Serves as administrator of the board electronic portal.
  • Assists the President in drafting and creating a monthly email/newsletter to members of the Board and Trustee Emeriti.
  • Coordinates the communications and meetings of the Cabinet Leadership team.
  • Drafts and maintains accurate, concise minutes on behalf of the President and the Cabinet.
  • Provides direction to student assistants; offers instruction in work procedures and/or reviews work for format, accuracy and consistency.
  • Provides administrative support for the recruitment of Cabinet and various leadership positions across the College.
  • Models inclusive excellence as an expression of the Benedictine values of the College.
