We're looking for an Executive Assistant to support our leadership team by managing daily administrative operations, coordinating customer communications, and assisting with sales and logistics activities. This is a hands-on role with plenty of variety, making it ideal for someone who enjoys solving problems, learning new systems, and taking ownership of their work.

Requirements

  • Strong written and verbal communication skills.
  • Proficiency with QuickBooks.
  • Ability to quickly learn new software, including ERP and CRM systems.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and solve problems proactively.

Responsibilities

  • Manage the Information, Invoices, and Spare Parts email inboxes, resolving routine requests and escalating more complex issues when needed.
  • Answer incoming phone calls and communicate professionally with customers, vendors, and business partners.
  • Process receipts, invoices, bills, and other administrative documents.
  • Support spare parts sales through our ERP system by creating quotations, sales orders, and purchase orders.
  • Track inventory and non-inventory items.
  • Prepare picking lists and packing slips.
  • Issue invoices.
  • Coordinate shipments with carriers and logistics providers.
  • Maintain an organized office and order supplies as needed.
  • Assist with planning sales trips and organizing follow-up notes.
  • Serve as a primary point of contact for third parties such as insurance providers, telecom vendors, and parts suppliers.
  • Provide day-to-day administrative support that helps free up leadership to focus on growing the business.
