Requirements

  • Post secondary education in Business Administration (or related field), or equivalent related work experience.
  • 1 to 5 years of executive support experience in a fast paced setting.
  • Professional, diplomatic and excellent communications.
  • Collaborative with an ability to build relationships.
  • Focused on client service excellence, attention to detail and continuous improvement mindset.
  • Ability to handle multiple active tasks and several conflicting deadlines.
  • Must be able to pass Canadian Controlled Goods Assessment and criminal background check and be compliant with International Traffic in Arms Regulations (ITAR).
  • Exemptions to the Canadian government to grant temporary residents/international students access to their export controlled goods is required and takes a minimum of 2 months from offer acceptance for processing. This may delay start dates for candidates on temporary work permits.

Responsibilities

  • Provide high level executive administrative support to the Director of Engineering and Sales and Plant Manager and management team.
  • Manage complex calendars, including scheduling, prioritizing, and coordinating meetings, and site visits.
  • Oversee incoming and outgoing communications including emails management, meetings, calls, and follow-ups.
  • Travel Coordinator for Canada - implementation and maintenance of travel system; including training and assisting travellers.
  • Administrator for local company cars and rental agreements.
  • Prepare monthly briefings on Sales Performance Reviews and Operations Performance Reviews.
  • Support internal to shop floor employees and preparation of townhall content.
  • Handle confidential and sensitive information with discretion, professionalism, and sound judgment.
  • Act as an extension of the Executives, representing them with tact, courtesy and professionalism at all times.
