About The Position

As the Executive Assistant, you will play a critical role in keeping Kikoff's leadership team operating effectively. You will serve as a trusted partner to the CEO and broader Executive Team, managing the logistics, communications, and coordination that allow senior leaders to focus on the company's most important priorities. The ideal candidate will be highly organized, exercise strong judgment and discretion, and thrive in a fast-moving, high-growth, pre-IPO environment where priorities shift quickly and no two days look the same. The Executive Assistant will support the CEO as the primary principal, with meaningful support responsibilities across the broader Executive Team. The role will be located in our San Francisco office, with an expectation to be in office all five days.

Requirements

  • 5+ years of experience as an Executive Assistant supporting C-suite leaders, ideally at a high-growth technology company
  • Demonstrated ability to manage multiple senior stakeholders simultaneously without losing sight of details
  • Has supported a CEO or founder through a period of meaningful company growth or organizational change
  • Exceptional written and verbal communication skills — comfortable drafting correspondence on behalf of senior leaders
  • Strong judgment about when to act independently and when to escalate
  • Highly proficient with modern productivity tools (Google Workspace, Slack, and calendar management tools at minimum), with an interest in utilizing AI
  • Able to translate ambiguous requests into clear, well-organized outcomes
  • Strong and effective communications skill
  • Discretion and integrity are non-negotiable

Responsibilities

  • Manage complex, ever-changing calendars for the CEO and Executive Team, including prioritization of meetings, proactive conflict resolution, and protection of focused work time
  • Ensure day-to-day calendars are coordinated across CEO and Executive team and strive to keep the CEO and Executive team on schedule daily
  • Serve as a first point of contact for inbound communications to the CEO, triaging emails and requests with sound judgment and appropriate urgency
  • Own logistical planning and organize materials for board meetings, investor updates, executive offsites, company all-hands, and leadership events from end to end
  • Serve as a welcoming face for executive guests and help maintain a professional, well-run office environment for the leadership team.
  • Partner with the People and Finance teams on expense reporting, vendor coordination, and administrative processes
  • Handle sensitive and confidential information with the highest degree of discretion and professionalism
  • Coordinate domestic and occasional international travel arrangements, including flights, accommodations, ground transportation, and itineraries
  • Anticipate needs before they arise and proactively fill gaps without being asked
