About The Position

The Executive Assistant role at QTS involves providing high-level administrative and office support to assigned executives, overseeing various office operations, and ensuring smooth daily operations. This role is crucial to the Executive Support organization, supporting executives in their day-to-day roles and interacting with their teams to prioritize meetings, communications, and needs. The position requires a motivated, organized individual with a keen eye for detail, strong communication skills, and a focus on efficiency in a fast-paced, growing industry.

Requirements

  • Five or more years of experience in an administrative function.
  • Strong communication skills.
  • Proficiency with technology including MS Office, email and other relevant programs.
  • Attention to detail and accuracy.
  • Problem solving skills.
  • Ability to operate with discretion and confidentiality.

Nice To Haves

  • Analytical skills, including the ability to perform basic spreadsheet functions.
  • Experience assisting with event planning, including coordinating logistics and ensuring smooth execution.
  • Experience writing communications on behalf of leaders for distribution.

Responsibilities

  • Manage an executive's calendar, scheduling meetings, and handling complex scheduling needs.
  • Act as a gatekeeper for the executive, filtering calls, emails, and visitors to ensure the executives time is used effectively.
  • Arrange travel itineraries, book flights, hotels, and transportation.
  • Handle incoming and outgoing communication, including emails, phone calls, and correspondence, and act as a point of contact for the executive.
  • Organize and maintain documents, prepare reports, and create presentations.
  • Assist with special projects and tasks, as needed, to support the executives' needs and objectives.
  • Prepare meeting agendas, take minutes as needed, and ensure efficient meeting flow.
