About The Position

Become an indispensable partner to our senior leadership team at Gordon Food Service. In this dynamic Executive Assistant role, you will be the central force that keeps our executives organized, prioritized, and prepared to lead effectively. You will handle a diverse range of administrative, project-oriented, and strategic tasks, from managing complex schedules and preparing high-level presentations to serving as a key liaison across the organization. This position requires a comprehensive understanding of our business operations and the discretion to handle sensitive information with the utmost confidentiality. You'll not only manage the day-to-day but also have the opportunity to contribute to special projects, making a tangible impact on our success.

Requirements

  • A proven track record of success, with 4+ years of experience in an administrative or executive support role where you've handled increasing complexity and demonstrated significant initiative.
  • A High School Diploma or equivalent is required.
  • You excel at managing digital and physical records, developing efficient office systems, and have a strong command of modern office technology and word processing.
  • You are a natural problem-solver. You have the autonomy to analyze situations, take initiative, and make sound decisions within a supportive framework of GFS policies and practices.
  • You are a gifted communicator, both verbally and in writing. You excel at building relationships and can tailor your communication style to any audience, backed by a strong command of English grammar and composition.
  • You have a customer-first mindset and a natural ability to build positive and effective working relationships with everyone you interact with.
  • You are a master of time management and can gracefully handle multiple priorities. You remain calm and professional under pressure and can be trusted to handle confidential information with the utmost discretion.

  • An Associate's degree in business or related field is a plus.

Responsibilities

  • Act as the gatekeeper and strategic partner for our senior leaders by managing their daily calendars, prioritizing commitments, and ensuring their time is leveraged for maximum impact.
  • You will flawlessly coordinate and prepare for meetings, conference calls, and other events, from arranging logistics and technology to preparing agendas and presentations.
  • Oversee all aspects of business travel, including flights, ground transportation, and lodging. You will also manage the submission and reconciliation of travel expenses, pay invoices, and assist in monitoring the department budget.
  • Serve as a primary point of contact, professionally screening calls, monitoring emails, and responding to inquiries. You will compose and manage a variety of communications, including correspondence, memos, and confidential materials.
  • Conduct research, analyze data, and prepare insightful reports and presentations. You will be a key player in planning departmental events and will take on special projects as assigned, showcasing your ability to manage tasks from concept to completion.
  • Create a welcoming and professional environment for all visitors and team members. You will establish and nurture effective working relationships across the organization and ensure that all information and records are maintained with strict confidentiality and integrity.
