About The Position

The Executive Assistant is responsible for supporting one or more Executives by managing moderately complex administrative, organizational, and operational tasks, while exercising autonomy within established procedures. The role ensures seamless communication, handling sensitive information with discretion, prepares complex documents and presentations, coordinates executive calendars, travel arrangements, and high-priority meetings, while also organizing high profile events.

Requirements

  • High School Diploma, or Vocational Education.
  • 5+ years of experience in Administrative Support, Clerical Support or equivalent.
  • Executive calendar management.
  • Drafting executive level communications.
  • Handling sensitive confidential information.
  • Management of multiple priorities.
  • Coordinating logistics.
  • Partnering effectively across multiple stakeholders.
  • Anticipating needs.
  • Resolving issues.

Responsibilities

  • Provide high-level administrative, organizational, and operational support to one or more Executives, exercising sound judgment and autonomy within established policies and procedures.
  • Support moderately complex tasks and projects while remaining knowledgeable of corporate standards and priorities.
  • Manage all incoming and outgoing communications for Executives, including email, phone, and written correspondence, acting as a gatekeeper and handling sensitive or confidential information with discretion.
  • Prepare complex draft communications, meeting materials, agendas, minutes, follow-ups, and high-impact presentations aligned with strategic objectives.
  • Maintain and proactively manage Executives’ calendars, coordinating complex and often global scheduling while ensuring alignment with key business priorities.
  • Anticipate conflicts, manage high-priority meetings, and keep Executives informed of critical timelines and milestones.
  • Coordinate domestic and international travel, including visas, flights, accommodations, and transportation, in compliance with organizational policies and budget guidelines.
  • Organize high-profile events, workshops, and conferences, overseeing logistics, materials, technical setup, and stakeholder coordination to ensure successful outcomes.
  • Manage records, files, and documentation while processing expense reports and supporting budget tracking in accordance with company policies.
  • Identify and implement opportunities to improve operational efficiency, support internal communications, external communications and assist with departmental and crisis communications as needed.
