About The Position

This contract Receptionist role provides high-level front desk and administrative support in a professional office environment. You will serve as the first point of contact for visitors, deliver friendly and efficient face-to-face customer service, and support day-to-day office operations while the current receptionist is on medical leave. The position follows a Monday through Friday schedule from 7:00 a.m. to 3:30 p.m. and requires a personable, proactive individual who is comfortable working closely with security and maintaining a welcoming, organized reception area.

Requirements

  • Strong verbal and written communication skills, with the ability to interact professionally with visitors and colleagues.
  • Proven customer service skills, with experience providing face-to-face support in a front desk or client-facing role.
  • Effective multi-tasking abilities, with the capacity to handle multiple visitors, tasks, and requests simultaneously.
  • Strong interpersonal skills and a personable, pleasant demeanor when greeting and assisting visitors.
  • Ability to work independently, manage one’s time, and prioritize tasks without constant supervision.
  • Ability to keep information organized, maintain accurate records, and handle confidential information appropriately.
  • Proficiency with computer applications, including Microsoft Word, Excel, and PowerPoint.
  • Familiarity with Microsoft Teams and Outlook for scheduling, communication, and coordination.
  • High school diploma or equivalent required.
  • 5–7 years of experience in customer service, administrative support, receptionist, or front desk roles.

Responsibilities

  • Greet and warmly welcome visitors, ensuring they feel comfortable and informed upon arrival.
  • Direct visitors to the appropriate person, department, or meeting room in a professional and efficient manner.
  • Verify visitor identification and work alongside the on-site security guard to support front desk security procedures.
  • Maintain an accurate visitor log and call record, and issue security passes or badges as needed.
  • Provide information to visitors and employees, responding to inquiries clearly and courteously.
  • Answer and manage the telephone or console switchboard when required, ensuring calls are handled or directed appropriately.
  • Receive and send packages via couriers, ensuring accurate documentation and timely distribution.
  • Maintain the boardroom schedule, including booking and coordinating meeting room usage.
  • Oversee boardroom equipment and ensure it is available, organized, and in working order for meetings.
  • Perform general clerical tasks such as typing, filing, photocopying, and organizing documents.
  • Prepare mailers, bind documents, and support the preparation of materials for meetings or presentations.
  • Stock and maintain kitchenette areas, ensuring supplies are available and the space remains tidy.
  • Handle information requests promptly and accurately, maintaining confidentiality at all times.
  • Conduct basic research or information gathering to support administrative needs as requested.
  • Work independently to manage daily tasks and prioritize responsibilities in a fast-paced front desk environment.
  • Keep reception and common areas neat, organized, and presentable throughout the day.
