About The Position

ISS STOXX is seeking an experienced and highly professional Executive Assistant to provide support to the CEO. This full-time position is based in Rockville, Maryland. The Executive Assistant will serve as a trusted business partner, managing a complex schedule, coordinating domestic and international travel, preparing expense reports, supporting meetings and events, and ensuring the seamless execution of the CEO's day-to-day activities. The role will also provide administrative support to other members of the Leadership Team when they are traveling with the CEO or participating in CEO-related meetings, events, and initiatives. This role requires exceptional organizational skills, sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced, global environment. The successful candidate will be proactive, detail-oriented, service-oriented, and comfortable interacting with senior executives, board members, clients, and external stakeholders. This role requires a high degree of flexibility and in-person support. While the position follows a hybrid work model of four days per week in the office, the Executive Assistant should be in the office when the CEO requires in-person support.

Requirements

  • 7 to 10 years of experience supporting C-level executives, preferably within a global organization or professional services environment.
  • Bachelor's degree preferred or equivalent professional experience.
  • Exceptional organizational, planning, and time management skills.
  • Excellent verbal and written communication skills.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Teams, Word, Excel, and PowerPoint.
  • Strong attention to detail and ability to manage multiple priorities simultaneously.
  • Demonstrated ability to exercise sound judgment and maintain confidentiality.
  • Proven ability to work independently while building effective relationships across all levels of the organization.
  • Professional presence and strong people skills.
  • Comfortable working in a fast-paced environment with changing priorities.
  • Ability to work from the Rockville office on a regular basis.

Responsibilities

  • Provide dedicated executive support to the CEO.
  • Manage a complex and dynamic calendar, ensuring effective prioritization of meetings, business commitments, and competing demands.
  • Coordinate domestic and international travel arrangements for the CEO.
  • Develop detailed travel itineraries and proactively manage travel-related logistics.
  • Prepare and submit expense reports in a timely and accurate manner.
  • Coordinate executive meetings, including scheduling, logistics, materials preparation, catering, technology requirements, and follow-up actions.
  • Arrange virtual and in-person meetings across multiple time zones.
  • Prepare, edit, and format presentations, reports, correspondence, and other executive communications.
  • Track key action items, deliverables, and deadlines on behalf of the CEO.
  • Support Board and Board Committee meetings by coordinating logistics, preparing meeting materials, and ensuring smooth execution of meeting activities.
  • Create meeting templates and agendas; manage meeting schedules, track action items, monitor deliverables, and ensure timely follow-up on commitments and decisions.
  • Support Executive Leadership Team meetings, town halls, investor meetings, and other strategic corporate events.
  • Serve as a liaison between the CEO and internal and external stakeholders.
  • Handle highly confidential and sensitive information with the utmost discretion and professionalism.
  • Anticipate executive needs and proactively resolve scheduling, travel, and administrative challenges.
  • Provide administrative support including travel coordination, expense report preparation, and meeting logistics to other members of the Leadership Team when they are traveling with the CEO, with priority given to CEO-related activities.
