About The Position

Treeswift is changing the way energy companies manage their infrastructure by helping utilities modernize their field operations with AI-powered technology. We deploy AI-powered sensor systems into utility field operations to collect LiDAR and imagery data at scale. Our models turn that raw data into actionable intelligence. Since our first utility pilot in June 2024, we've grown to work with three of the five largest utilities in the United States. Requirements

  • 2–4+ years of experience in an EA, office management, or operations coordination role
  • Experience managing complex calendars, travel, and executive communications
  • Ability to operate independently with minimal oversight
  • Communicate clearly and professionally, and exercise good judgment about when to act independently and when to escalate
  • Proactive by nature — anticipate needs, flag issues early, and solve problems before they become problems
  • Experience in high-growth, fast-moving environments
  • Based in New York City and comfortable with a hybrid work schedule with minimum 2-3 days in office
  • Proficient with Google Workspace and familiar with tools such as Notion, Slack, ChatGPT, and other AI productivity platforms

Responsibilities

  • Own the Co-Founder’s calendar end-to-end — schedule meetings, resolve calendar conflicts, and make sure the right time is protected for the right priorities
  • Manage travel logistics, including flights, hotels, ground transportation, and itineraries
  • Track action items and ensure important commitments are executed on time
  • Manage sensitive and confidential information with absolute discretion
  • Coordinate internal and external meetings, including agenda prep and follow-up tracking
  • Handle expense reporting and other day-to-day administrative needs
  • Participate in ad hoc projects as needed to support the broader team
