About The Position

BAE Systems is seeking an Executive Assistant to support the Director and Deputy Director under the Air and Space Force Solutions Integration Support Contract (ISC) at Hill AFB, UT. The applicant selected will support the ISC Business Operations Team as we seek to deliver a world-class capability for our customers. This position may perform the following duties and responsibilities in collaboration with the Director and Deputy Director: Provide high-level administrative support, including managing complex calendars and preparing itineraries. Develop and maintain effective relationships with internal stakeholders, including BAE Systems-wide senior leaders and fellow employees, and external partners from local academic, civic, and aerospace and defense organizations. Coordinate logistics for meetings, events, and conferences, ensuring all logistical arrangements are in place and executed flawlessly. Prepare and edit correspondence, reports, and presentations, ensuring high-quality and timely delivery. Develop and implement effective digital filing systems to ensure easy access to information. Develop and maintain a thorough understanding of the business unit's operations, goals, and objectives, providing strategic support and recommendations as needed. Provide logistics support for distinguished visitors including visit requests, project access requests, etc. Interface with travel team to ensure travel is efficiently scheduled and expenses are completed. Identify areas for process improvement and implement changes to increase efficiency and productivity. Manage confidential and sensitive information with discretion and professionalism. Book meeting rooms and common space conference rooms. Provide back-up support for other administrative staff, as needed. Perform other duties, as assigned.

Requirements

  • BS/BA – 6 years’ experience
  • AS/AA – 8 years’ experience
  • HS/GED – 10 years’ experience
  • Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Experience with calendar management, travel coordination, and expense reporting.
  • Excellent written and verbal communication skills.
  • Ability to work in a team environment and build strong relationships with colleagues and stakeholders.
  • Ability to manage multiple responsibilities and prioritize workload of self and others effectively.
  • Firm understanding of budgets, military culture and acquisition processes, prior people management experience.
  • Ability to obtain and retain a Department of Defense SECRET security clearance.
  • High energy and proactive approach to work.
  • Strong attention to detail and organizational skills.
  • Excellent professional communication and interpersonal skills.

Nice To Haves

  • Prior experience as an Executive Assistant to a military, government, or business leader of a medium to large organization.
  • Bachelor’s degree in business administration, communications, or a related field.
  • Certification as a Certified Administrative Professional (CAP) or Certified Executive Administrative Professional (CEAP).
  • Proficiency in additional software applications, such as project management tools or customer relationship management systems.
  • Experience with data analysis and reporting, including creating dashboards and visualizations.
  • Experience with JIRA software by Atlassian.
  • Familiarity with AI applications for generation of first draft material/products to the list.
