Assist with the administration of the educational component of all Early Childhood programs. This role involves ensuring adequate classroom coverage, assisting with payroll and time off requests, coordinating new hire orientations, and managing data input and report generation for various databases. The position also requires logistical preparation for staff meetings and professional development days, managing the pick-up and delivery of tuition/fees, and providing front office/reception support. Additionally, the Executive Assistant will assist with preparing for funder and regulator visits, oversee administrative functions for the education component including supply management and inventory, and support teaching staff with expense reports and mileage reimbursements. This role also involves preparing materials for education events, maintaining electronic and hard copy records of resources, forms, policies, and procedures, and tracking/collecting daily, weekly, and monthly paperwork to meet deadlines. The Executive Assistant will manage the annual teacher calendar, provide reminders for deadlines, coordinate and schedule meetings for the education team, maintain staff files and training logs, and ensure data is available for staff training reports. Active participation in program and agency staff meetings is expected. Non-essential duties include planning and organizing special events and performing other related duties as required.
