About The Position

The Executive Assistant to the Executive Director is responsible for direct one-on-one executive support, including management of executive-level projects, presentation development (including developing slide decks for investor meetings), managing a complex and ever-changing calendar, scheduling appointments, travel coordination, and various duties as assigned. The person is a main point of contact, serving as a liaison between internal and external constituents pertaining to the Executive Director and is responsible for handling sensitive and confidential information with the utmost discretion while maintaining open lines of communication between the Executive Director and other team members. The Executive Assistant will screen all visitors and determine the level of support needed while offering polite, professional customer service. Plan, coordinate, and execute high-profile events, meetings, and conferences hosted by the Executive Director’s office, including logistics, invitations, and on-site coordination.

Requirements

  • Associates Degree and experience relevant to the role of the position. A GED/High School Diploma plus 1 year of transferable program/functional experience may substitute for an Associate’s degree.
  • Ability to meet background check requirements.
  • Ability to meet occasional travel demands of the position.
  • A valid NYS driver's license and ability to drive and driving record acceptable for agency insurance coverage are required.
  • Ability to work flexible hours, which may include early mornings, evenings, and weekends.
  • Strong organizational and time management skills.
  • Ability to demonstrate positive customer service skills, good communication skills and work well in a busy program setting.
  • Ability to thrive in an office environment with frequent distractions and opportunities to demonstrate positive collaboration amongst staff and community agencies.
  • High level skills in word processing (Microsoft Word), spreadsheet (Microsoft Excel), database and internet software.
  • Demonstrated ability to perform advanced MS Excel and database functions including creating, manipulating, reporting and maintaining electronic spreadsheets and databases.
  • Ability to read and interpret documents such as instructions and procedure manuals.
  • Ability to write routine correspondence.
  • Ability to speak effectively with external customers and employees.
  • Able to use good judgment in analyzing facts and circumstances surrounding work situation problems or transactions and in determining action to be taken within limits of standard or accepted practice.
  • Ability to handle administrative details, to work under pressure, and organize work into priorities with emphasis on effective time management.
  • Demonstrated ability to work independently.
  • Ability to occasionally carry and/or transport supplies and equipment, and climb stairs with or without reasonable accommodation.
