About The Position

Equinix is seeking an experienced Executive Assistant to provide professional support to multiple executives. This individual will be responsible for organizing all aspects of work life, including calendar management, travel arrangements, meetings, and events. The role requires strong experience in executive support at senior levels, polished communication skills, exceptional attention to detail, good judgment, business savvy, and the ability to manage proactively in a dynamic, fast-paced environment with evolving priorities. The ideal candidate will be energetic, proactive, hardworking, and able to anticipate the needs of executives, working independently with little supervision. This person must be exceedingly well-organized, curious, dynamic, a technology whiz, detail-oriented, flexible, a quick study, and enjoy the administrative challenges of supporting busy executives in a fast-paced environment. An optimistic and solutions-oriented team-player attitude is essential.

Requirements

  • 3+ years of administrative experience (or equivalent).
  • Expert proficiency in MS Office (PowerPoint, Excel & Word).
  • Extraordinary attention to detail and dedication to meeting expectations for quality and accuracy.
  • Excellent written and verbal communication skills.
  • Dedication to the highest degree of discretion and respect for confidentiality.
  • Highly organized and excellent at planning.
  • Maturity, solid judgment, and the ability to interact with confidence with executive management.

Nice To Haves

  • C-suite executive level management support experience preferred.
  • Previous work experience in a fast growth, international, technology company preferred.
  • Previous work experience at a global company preferred.
  • Knowledge of international travel booking protocols, visas, and how to obtain the most current information on country travel requirements.

Responsibilities

  • Heavy calendar management, including setting appointments, prioritizing, and resolving scheduling issues independently.
  • Managing global calendars across multiple time zones.
  • Handling complex domestic and international travel and accommodation schedules, utilizing the internal Equinix travel program and seeking cost-saving opportunities.
  • Organizing complex domestic and international travel.
  • Exercising sound judgment and discretion in handling confidential and sensitive information.
  • Meeting and event preparation, set-up, and follow-up, including presentation proofing and edits.
  • Attending meetings as required and ensuring action item follow-up.
  • Preparing expense reports and reviewing direct reports' expenses for accuracy and policy compliance.
  • Processing Purchase Orders (POs) and actively managing them to completion.
  • Planning and organizing Operations leadership meetings and events.
  • Preparing for and supporting meetings, both telephone and in-person.
  • Running various remote meeting platforms (Zoom, Teams).
  • Assisting with special projects and ad hoc tasks as requested.
  • Assisting in managing customer and employee relationships and meetings.
  • Answering phones and screening calls.
  • Coordinating and working effectively with a team of Equinix EAs and internal support organizations to build positive partnerships.
