About The Position

Position Overview: The Executive Assistant (EA) to the C‑Suite provides high‑level administrative, operational, and strategic support to the executive leadership team. This role ensures the smooth functioning of executive operations by managing complex schedules, coordinating cross‑functional initiatives, supporting executive communications, and serving as a central liaison across the organization. The EA is responsible for maintaining confidentiality, exercising sound judgment, and representing the C‑Suite with professionalism and excellence. Location: This role is based at our Service Center in Memphis, TN. Candidates must reside in the Memphis area or be willing to relocate prior to employment. Limited travel to branch locations may be required.

Requirements

  • Bachelor’s degree preferred or equivalent experience.
  • 5+ years of administrative experience supporting senior executives; C‑Suite experience strongly preferred.
  • Exceptional organizational and time‑management skills with the ability to manage multiple priorities in a fast‑paced environment.
  • Excellent verbal and written communication skills.
  • High level of professionalism, emotional intelligence, and discretion.
  • Strong proficiency in Microsoft 365 (Outlook, Teams, SharePoint, PowerPoint, Excel, Word).
  • Ability to anticipate needs, solve problems proactively, and operate with minimal supervision.
  • Demonstrated success maintaining relationships and collaborating across all levels of an organization.

Responsibilities

  • Provide high‑level administrative support to the C‑Suite, including calendar management, scheduling, prioritization, and daily workflow coordination.
  • Safeguard confidential information with discretion and professionalism.
  • Serve as primary liaison between the C‑Suite and internal/external partners.
  • Draft, edit, and prepare executive communications, presentations, memos, talking points, and meeting materials.
  • Partner with Communications and HR to ensure consistent, timely, aligned messaging.
  • Manage complex executive calendars and anticipate scheduling needs.
  • Prepare agendas, briefing materials, and track action items for SLT meetings.
  • Attend key meetings to capture minutes, decisions, and follow‑up tasks.
  • Coordinate domestic and international travel, conference registrations, itineraries, and expenses.
  • Plan and execute SLT retreats, including logistics, content prep, and vendor coordination.
  • Support quarterly and annual leadership planning sessions.
  • Assist with agenda development, materials creation, and meeting facilitation.
  • Support operational execution of company‑wide programs aligned with organizational priorities.
  • Coordinate logistics, communications, documentation, and process management for cross‑functional initiatives.
  • Track deliverables, deadlines, and progress to ensure effective execution.
  • Collaborate with SLT members to maintain alignment across major initiatives.
  • Assist with project coordination, reporting, data collection, and workflow management.
  • Recommend process improvements to enhance executive and organizational efficiency.
  • Serve as a culture ambassador, promoting professionalism and positivity.
  • Support onboarding for executives and senior leaders.
  • Oversee key administrative systems, tools, and vendors as needed.
  • Assist with budget monitoring and executive office expense reconciliation.
