Requirements

  • 5+ years of Executive Assistant experience supporting senior executives or leadership teams
  • Strong expertise managing high-volume calendars, travel arrangements, and expense reporting
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously
  • Detail-oriented with excellent follow-through and a proactive approach to problem-solving
  • Strong written and verbal communication skills
  • Professional, polished, and comfortable interacting with stakeholders at all levels
  • Resourceful, flexible, and able to thrive in a fast-paced, growing environment
  • Proficiency with Microsoft Office, Google Workspace, and common expense and travel management platforms
  • Passion for supporting leaders and contributing to a mission-driven organization

Responsibilities

  • Manage complex executive calendars, prioritizing meetings and balancing evolving schedules
  • Coordinate internal and external meetings, including agendas, logistics, materials, and follow-up activities
  • Arrange domestic and international travel, including flights, accommodations, transportation, and detailed itineraries
  • Process and reconcile executive expenses with accuracy and timeliness
  • Serve as a primary point of contact for scheduling and administrative coordination across teams and external stakeholders
  • Support leadership meetings, offsites, and special events by handling logistics and operational details
  • Track action items and ensure timely follow-through on key priorities
  • Maintain confidentiality while handling sensitive business and personnel information
  • Assist with administrative projects and provide additional support as organizational needs evolve
