About The Position

POSTION PURPOSE: The Executive Assistant will provide senior-level executive support to the Chief Administrative Officer (CAO) and play a lead role in the support staffing structure within Business Services, enabling the effective execution of Infrastructure Ontario’s strategic mandate. This role ensures seamless coordination of CAO priorities, supports enterprise-wide initiatives, and facilitates communication and engagement across internal and external stakeholders. The Executive Assistant plays a critical role in managing the operational rhythm of the CAO’s office in advancing strategic initiatives.

Requirements

  • Minimum 2 years of experience supporting C-suite executives, in a complex matrix environment.
  • Experience managing confidential and politically sensitive information.
  • Proven ability to navigate and influence within an organization
  • Exceptional organizational, time management, and prioritization skills.
  • Strong written and verbal communication skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, Co-Pilot).
  • Ability to work independently in a fast-paced environment.
  • Strong interpersonal and relationship-building skills with internal and external stakeholders.
  • Demonstrated ability to synthesize complex information and support strategic decision-making

Responsibilities

  • Serve as a key point of contact for the CAO’s office, managing communications with senior leaders, government officials, and external partners.
  • Manage the CAO’s calendar with a strategic lens, ensuring alignment with corporate priorities and Board commitments
  • Support the SVP, People & Culture, as needed with calendar conflicts, co-ordination, approvals and communications
  • Coordinate with the Business Services Senior Leadership Team to ensure effective use of meeting time and alignment with strategic priorities. Anticipate and resolve scheduling conflicts independently
  • Support the CAO in tracking and following up on action items, deliverables, and strategic initiatives.
  • Prepare and submit expense reports and manage approvals in accordance with IO’s Delegation of Authorities (DOA).
  • Respond to urgent requests and priority communications as may be required outside of regular working hours.
  • Ensure materials are co-ordinated, submitted for review and final approval within expected timelines, managing expectations and follow-up as needed
  • Utilize collaboration tools, rather than e-mail, to ensure sufficient workflows
  • Work with the Communications team, manage internal and external communications on behalf of the CAO and Business Services Senior Leadership Team, ensuring alignment with organizational tone and standards.
  • Maintain document integrity and ensure adherence to corporate templates and protocols.
  • Support the preparation of Board submissions, strategic reports, and CAO updates
  • Provide integrated support managing Business Services corporate project portfolio
  • Support the Business Services Senior Management Team in on various strategic priorities including identification of conflicts and risk of timelines
  • Look for opportunities to optimize processes, workflows and communications
  • Act as main SME within Business Services in the use of communication and collaboration tools across the division, encouraging engagement and a connected culture
  • Lead the co-ordination and communication of Business Services wins
