About The Position

Munson Healthcare is northern Michigan’s largest healthcare system, comprising eight award-winning community hospitals serving over half a million residents across 29 counties. This Executive Assistant position is an onsite role, requiring presence 5 days a week. The primary purpose of this role is to support assigned executives, enhancing their effectiveness and streamlining daily operations. This is achieved through meticulous calendar management, preparation of crucial documentation, coordination of communication and follow-up, and providing comprehensive administrative support.

Requirements

  • Associate’s degree or equivalent, with 5+ years of executive level administrative or office coordination experience.
  • Proficient in MS Office (PowerPoint, Word, Excel) and cloud-based tools; able to learn new technology quickly.
  • Strong professional communication skills, both written and verbal.
  • Excellent organizational skills with a continuous improvement mindset.
  • Proven ability to manage confidential information with discretion.
  • Works independently, adapts to changing priorities, takes initiative, and collaborates well with others.
  • Munson Healthcare requires all employees be vaccinated or have lab confirmed immunity for Measles, Mumps, Rubella and Varicella.
  • MHC also requires all employees to receive a flu vaccine during the flu season in the year that they are hired and annually thereafter, or receive an approved medical or religious exemption.

Responsibilities

  • Schedule and adjust meetings, coordinate availability, and support efficient time and travel planning.
  • Prepare and refine presentations, reports, agendas, and other materials.
  • Organize materials and assist with interviews, regulatory submissions, research, and special projects.
  • Coordinate with the Chief Administrative and Improvement Officer on meeting planning, communications, agendas, and minutes.
  • Facilitate communication, track tasks, and support daily calendar and meeting workflows.
  • Anticipate needs, identify issues, and implement process improvements to enhance leader effectiveness.
