About The Position

Key Point Health Services, Inc. is seeking an Executive Assistant to provide comprehensive administrative support to the CEO and C-Level Leadership Team. This full-time position, based at HQ in Aberdeen, MD, involves managing complex executive calendars, coordinating meetings, preparing materials, and handling confidential information. The role also supports legislative and government relations, manages social media communications, and handles reception duties for the administrative office. Additionally, the Executive Assistant will assist with organizational support, special projects, and event coordination.

Requirements

  • High school diploma or GED required.
  • Three or more years of progressively responsible executive administrative experience supporting senior leadership required.
  • Exceptional organizational and time management skills.
  • Outstanding written and verbal communication abilities.
  • Professional demeanor with excellent interpersonal skills.
  • Ability to maintain strict confidentiality and exercise sound judgment.
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with Microsoft Teams, SharePoint, and virtual meeting platforms.
  • Working knowledge of major social media platforms including Facebook, LinkedIn, Instagram, and X.
  • Ability to manage multiple competing priorities with minimal supervision.
  • Strong proofreading and editing skills.
  • Ability to build positive relationships with executives, Board members, community partners, elected officials, and staff.
  • Excellent customer service skills and professional telephone etiquette.

  • Associate's degree in Business Administration, Communications, Public Administration, or related field preferred.

Responsibilities

  • Provide comprehensive administrative support to the CEO and C-Level Leadership Team.
  • Manage complex executive calendars, appointments, and scheduling priorities.
  • Coordinate leadership meetings, retreats, and strategic planning sessions.
  • Prepare meeting agendas, presentations, reports, correspondence, and briefing materials.
  • Record and distribute meeting minutes and action items.
  • Screen calls, emails, and correspondence while exercising sound judgment regarding priority and confidentiality.
  • Maintain confidential executive files and organizational records.
  • Assist with preparation of Board of Directors meeting materials and executive reports.
  • Track executive projects and follow up on deadlines and deliverables.
  • Coordinate meetings with elected officials, government agencies, legislative offices, and community partners.
  • Maintain calendars for legislative sessions, advocacy events, hearings, and public meetings.
  • Assist with scheduling advocacy visits and legislative outreach activities.
  • Coordinate logistics for CEO participation in legislative events and community engagement opportunities.
  • Maintain contact information and communication records for government officials and community stakeholders.
  • Support preparation of advocacy materials, briefing packets, and legislative correspondence.
  • Manage Key Point Health Services' social media calendar across organizational platforms.
  • Develop and schedule social media content that aligns with organizational branding and strategic initiatives.
  • Monitor organizational social media accounts and respond or route inquiries as appropriate.
  • Increase community engagement by monitoring comments, messages, and interactions.
  • Coordinate executive announcements, community highlights, employee recognition, and organizational campaigns.
  • Work collaboratively with leadership to promote organizational events, initiatives, grants, and accomplishments.
  • Track social media engagement metrics and recommend opportunities for increased visibility.
  • Serve as the professional first point of contact for visitors entering the administrative office.
  • Welcome guests, vendors, applicants, and community partners.
  • Provide directions to visitors and notify staff of arriving guests.
  • Accept and distribute mail, packages, and deliveries.
  • Maintain a clean, organized, and welcoming reception area.
  • Assist with conference room scheduling and meeting preparation.
  • Order and maintain office supplies for the administrative office.
  • Support general administrative functions as assigned.
  • Assist with special projects assigned by executive leadership.
  • Coordinate organizational events, employee recognition activities, and executive functions as needed and in support of the HR team.
  • Support preparation of newsletters, announcements, and internal communications.
  • Maintain electronic filing systems and document organization.
  • Assist with document formatting, proofreading, and quality review.
  • Coordinate vendor appointments and service visits for the administrative office.
