Requirements

  • 10+ years administrative experience required, previous support of a high-level executive preferred
  • Active Notary Public certification required.
  • Previous experience in managing a busy travel calendar and in setting up and managing meetings and events
  • Exceptional computer skills including advanced knowledge and proficiency with Microsoft Office (Outlook, Word, Excel, Visio, and PowerPoint)
  • Strong project management skills
  • Ability to handle sensitive and confidential information and issues with tact and diplomacy
  • Ability to maintain an organized system of tracking, monitoring and prioritizing tasks and projects.
  • Must be reliable and able to work independently on assigned tasks as well as to accept direction on given assignments and proactively anticipate needs
  • Ability to work well under pressure and meet deadlines
  • Able to juggle multiple tasks and priorities, quick-thinker, able to pivot and adjust as needed
  • Detail oriented with ability to proof documents for accuracy and communicate detailed changes
  • Excellent interpersonal, written, and verbal communication skills
  • Maintain a professional, and polished demeanor
  • Enthusiastic and friendly, with a demonstrated client-service orientation
  • Strong problem-solving orientation and analytical skills

Responsibilities

  • Provide administrative support for the Mattamy Homes US COO and other executives including calendar management, flight and extensive travel arrangements, event and meeting coordination, presentations, and expense report management.
  • Must present a professional image while answering phones, and handling visitors to the office
  • Solid experience supporting a senior executive and in keeping the office functioning including ordering, receiving, stocking and distribution of office supplies, coordinating equipment services, and building facilities.
  • Assist in the preparation of financial reporting packages and presentations for Board Meetings, employee, and bondholder events
  • Prepare ad hoc reports requested by other Departments, Division Leadership, US Corporate and Central Services (Canada Corporate)
  • Compose correspondence on behalf of the COO as needed
  • Receive, sort or forward incoming mail. Coordinate the pick-up and delivery of express mail services including FedEx, UPS, and USPS
  • Other related administrative/clerical duties such as scanning, photocopying, filing, and creating business correspondence
  • Perform other related duties as assigned
