About The Position

The Executive Assistant provides high-level administrative and strategic support to senior leadership. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is proactive, detail-oriented, and trusted to handle sensitive information with professionalism and confidentiality.

Requirements

  • 3–5+ years of experience as an Executive Assistant or in a similar senior administrative role
  • Proven experience supporting senior executives or C-level leaders
  • Strong written and verbal communication skills
  • Exceptional organizational and time-management abilities
  • High level of professionalism, integrity, and discretion
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Teams, Zoom)

Responsibilities

  • Manage senior management’s complex calendars, ensuring alignment with company priorities.
  • Coordinate travel arrangements (air, hotel, ground transportation) and prepare detailed itineraries
  • Serve as a primary point of contact between the executive and internal/external stakeholders
  • Anticipate executive needs and proactively resolve scheduling, communication, or logistical issues
  • Prepare meeting materials, agendas, briefing documents, and follow-up action items.
  • Track key initiatives and ensure follow-up on priority projects led by the CEO
  • Ensure the CEO is well-prepared for meetings through advance preparation and organization of relevant information.
  • Draft, edit, and proofread emails, presentations, reports, and other correspondence
  • Prepare meeting agendas, take accurate meeting notes, and track follow-ups and action items for senior management team
  • Handle confidential and sensitive information with the highest level of discretion
  • Help manage board-related logistics, including scheduling, materials preparation, and communications.
  • Organize and maintain digital and physical files, records, and documentation
  • Assist with expense reporting, invoicing, and budget tracking for senior management team
  • Support special projects, research, and ad hoc initiatives
  • Improve administrative processes and recommend efficiencies
  • Support planning and coordination of leadership meetings, company events, and offsites.
  • Build strong working relationships with key internal teams and external partners
  • Represent the executive professionally and positively at all times
  • Coordinate with MFA executive assistant to ensure seamless leadership operations
