About The Position

Sanford Health, the largest rural health system in the United States, is dedicated to transforming the health care experience and providing access to world-class health care in America’s heartland. This role will work as an extension of our leadership team supporting the CIO and individuals at the VP level. The Executive Assistant will provide essential support for all executive functions. The position requires the ability to create a friendly, cooperative impression and positive image of the organization when dealing with employees, visitors, patients/residents, board and medical staff members. Considerable initiative and judgment are involved in assuming responsibility for routine matters, answering inquiries, and relieving the Executive(s) of clerical and minor executive duties. Planning, maintaining, and coordinating the Executive(s)'s calendars are essential. The role requires someone to be self-directed with a high level of accountability and work with minimal or no supervision. Functions as a resource for other executives, employees, physicians, and the public. Procedures are well standardized, although new situations constantly arise which necessitate occasional independent decisions. Deals discreetly with sensitive, confidential information. Must be able to work in stressful conditions and must manage stress well. Must have excellent time management and organizational skills. Must present a courteous and cooperative manner in dealing with people as well as a professional attitude, attire, and demeanor. Must be able to organize meetings, plan agendas, attend meetings, and take accurate minutes. Knowledge of organizational policies, procedures, and systems is required. Ability to establish and maintain effective working relationships with management, other employees, and the public. Ability to identify problems and recommend solutions. Ability to establish priorities and coordinate work activities. Ability to coordinate and make travel arrangements. Ability to react calmly and effectively in stressful working situations. The ability to anticipate the needs of your superiors before they ask for them is a great asset.

Requirements

  • Associate degree in a secretarial or related field or equivalent six years Administrative Assistant work experience is required.
  • Excellent time management and organizational skills.
  • Ability to establish and maintain effective working relationships with management, other employees and the public.
  • Ability to identify problems and recommend solutions.
  • Ability to establish priorities and coordinate work activities.
  • Ability to react calmly and effectively in stressful working situations.

Responsibilities

  • Manage and maintain calendar including scheduling appointments, internal/external meetings and conference calls.
  • Responsible for meeting agenda preparation, recording, and distribution of executive meeting minutes.
  • Anticipate, prioritize, and plan for future projects and meetings.
  • Draft and edit correspondence, communications, presentations and other documents.
  • Provides administrative support to the Corporate Leadership Team and performs diversified administrative functions by relieving them of routine matters.
  • Organize meetings, plan agendas, attend meetings and take accurate minutes.
  • Coordinate and make travel arrangements.
