About The Position

The Executive Assistant provides administration support for the leadership team. This full-time position reports to the Vice President of Operations but will also receive direction from the VP of Development and CEO to provide administrative support. This detail-oriented individual handles confidential information with discretion, communicates clearly and effectively and maintains trusting relationships with all staff members.

Requirements

  • 3-5 years of administrative experience
  • Excellent attention to detail
  • Excellent communication skills both within and outside the organization
  • Ability to maintain confidentiality

Nice To Haves

  • Proficiency in Microsoft Office Suite and/or Google Suite
  • Experience with Unanet or another enterprise resource planning tool

Responsibilities

  • Provide administration support for the leadership team.
  • Handle confidential information with discretion.
  • Communicate clearly and effectively.
  • Maintain trusting relationships with all staff members.
  • Input development data into Donor Perfect or a future CRM.
  • Prepare and distribute accurate donor acknowledgement letters.
  • Deposit fundraising checks.
  • Maintain the CEO’s Chesapeake Conservancy calendar and coordinate incoming and outgoing scheduling and email requests.
  • Assist CEO in other administrative tasks upon request.
  • Manage office supplies, keeping inventory of current supply levels and placing orders when needed to replenish materials.
  • Manage Skedda calendar for the office.
  • Input invoices into Bill.com.
  • Perform other duties as assigned.
