About The Position

The Executive Assistant provides high-level administrative and operational support to the Chief Executive Officer and General Counsel, enabling efficient day-to-day execution and overall effectiveness. This role manages complex calendars, coordinates meetings and communications, and handles highly confidential information with professionalism and discretion. Serving as a trusted partner, the Executive Assistant anticipates needs, prioritizes competing demands, and supports key initiatives and projects. The role is essential in fostering strong internal collaboration, maintaining organizational efficiency, and ensuring a professional, seamless executive experience both internally and externally.

Requirements

  • Bachelor’s degree from an accredited college or university with a minimum of seven (7) years of executive assistant experience required.
  • Excellent PC skills, including MS Word, Excel, PowerPoint, and Outlook.
  • Must be able to handle multiple, simultaneous tasks effectively and efficiently while maintaining a professional, courteous manner.
  • Self-starter, requiring little supervision.
  • Must be able to work well with others.
  • Strong verbal and written communication skills are required.
  • Must be detail-oriented and organized.
  • High integrity, including maintenance of confidential information. Must be able to exercise good judgment and positively influence and lead others, including handling confrontations with poise and efficiency.
  • Based on business needs, the ability to work on a flexible schedule, including some evenings and weekends, as approved in advance.
  • Ability to understand, read, write, and speak English.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to successfully write business correspondence.
  • Ability to effectively present information, respond to questions, and professionally interact with managers, employees, clients, vendors, and the public.
  • Ability to recognize and define problems, collect data, establish facts, draw valid conclusions, and correct errors.
  • Ability to understand and interpret basic financial data.
  • Ability to interpret a variety of instructions in a variety of forms and deal with abstract and concrete variables.
  • Must be able to sit or stand for extended periods, operate a computer and other office equipment, and communicate clearly in person and/or over the phone.
  • Requires occasional walking, bending, reaching, and lifting.

Responsibilities

  • Administrative point of contact between the executives and internal/external clients, including the AMSURG Board of Directors
  • Coordinates calendars; schedules meetings and conference calls
  • Prepares for and provides support for high-level meetings as necessary
  • Small event planning as necessary
  • Responsible for maintaining highly confidential and time-sensitive information
  • Coordinates executive communications, including taking calls and responding to emails
  • Makes travel arrangements and coordinates with other executives as appropriate
  • Prepares expense reports for executives
  • Prepares routine and advanced correspondence, including letters, memoranda, and reports
  • Prepares non-disclosure agreements and supporting logs for confidential projects
  • Establishes, develops, maintains, and updates filing
  • Assist on special projects when needed
  • Regular and reliable attendance is required.
