About The Position

We’re looking for an experienced Executive Assistant to support our CEO and Utah-based executives. This is more than a calendar-management role. You’ll serve as a trusted partner who keeps priorities moving, anticipates needs, solves problems, and helps our executives operate at their best. The right person is highly organized, resourceful, discreet, and comfortable working in a fast-moving environment where priorities can change quickly. You’ll need to be someone who sees what needs to happen, takes ownership, and gets it done—with professionalism and good judgment. This is a full-time, on-site position in Park City, Utah, with a planned transition to our new Heber City office in 2027. This role follows a hybrid work schedule, with employees typically working onsite three days per week. Additional in-office days may be required from time to time for onboarding, training, team meetings, project collaboration, or other business needs. Travel is expected to be up to 25%.

Requirements

  • 5+ years of Executive Assistant experience, ideally supporting a CEO or other C-level executives.
  • Bachelor’s degree
  • Exceptional organizational skills and the ability to manage multiple executives, priorities, and deadlines.
  • Strong written and verbal communication skills.
  • Excellent judgment, discretion, and professionalism.
  • A proactive, resourceful approach—you anticipate needs rather than waiting for direction.
  • Strong problem-solving and project-management capabilities.
  • Comfortable operating independently in situations where the path forward may not always be clearly defined.
  • Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint, along with the ability to quickly learn new technology.
  • Ability to build strong working relationships across all levels of an organization.
  • Flexibility to occasionally support time-sensitive needs outside normal business hours.

Responsibilities

  • Manage complex calendars, meetings, travel, and executive communications.
  • Prepare presentations, reports, agendas, and other executive materials.
  • Coordinate board and executive meetings, including logistics and follow-up.
  • Track priorities, commitments, and action items to ensure timely execution.
  • Anticipate needs, resolve issues, and help executives stay focused on key priorities.
  • Serve as a liaison with internal and external stakeholders.
  • Conduct research and coordinate special projects and initiatives.
  • Handle sensitive information with exceptional judgment and discretion.
  • Coordinate vendors, repairs, office services, mail, supplies, and related expenses.
  • Maintain an organized, professional, and well-functioning Utah office.
  • Coordinate office programs and activities.
