Cleerly operates with a mostly remote workforce, with offices in Denver, New York, Dallas, and Lisbon. Their technology offers a new standard of care for heart disease through AI-driven precision diagnostic solutions, aiming to prevent heart attacks by quantifying and characterizing atherosclerosis. The company utilizes various digital collaboration tools like Google Workspace, Slack, Confluence/Jira, and Zoom. Travel is required for some roles, typically once per month or quarter, with external-facing roles potentially requiring up to 90% travel. Cleerly is committed to providing safe and effective medical software, adhering to regulatory requirements and continuously improving products and processes. The Technology, R&D, and AI Innovation teams are dedicated to building cutting-edge solutions to empower physicians in preventing heart attacks. They manage the entire product lifecycle from prototype to deployment, transforming complex algorithms into FDA-cleared clinical products. As the Executive Assistant to the Chief Technology Officer (CTO), this role is central to coordinating and supporting the growth of the global Technology, R&D, and AI Innovation organizations. The EA will act as an operational partner to the CTO, driving engineering excellence and streamlining collaboration to build and release next-generation clinical AI products. This role involves orchestrating a multifaceted organization of product development professionals.

Requirements

  • 3-5 years of experience supporting C-level executives in high-growth environments, ideally within software, engineering, R&D, or fast-paced med tech companies.
  • Expert in complex scheduling and sophisticated organizational communication and excitement to leverage AI and automation to streamline workflows and optimize the CTO's time.
  • Highly proficient in modern productivity suites (Microsoft 365/Google Workspace) and comfortable navigating project management tools (e.g., Jira, Asana, or SmartSheet) to maintain visibility across R&D initiatives.
  • Strong ability to synthesize complex technical concepts, R&D data, roadmaps, and strategies, and assist in translating between executive strategy and technical roadmap to support clear, concise internal communications.
  • Possess the emotional intelligence to navigate the unique dynamics of an engineering organization; must be able to handle sensitive conversations regarding proprietary technology and strategic ambiguity with absolute professionalism.
  • Exceptional written and verbal communication skills, capable of drafting high-quality documentation, presentations, and correspondence that reflects the CTO's voice and vision.
  • Comfortable operating with high autonomy in a fast-paced, evolving technical environment, consistently anticipating needs before they arise.
  • Willingness to occasionally work late, across different time zones, and remain "on call" during weekends to support urgent travel logistics, scheduling shifts, or critical executive needs.

Nice To Haves

  • Prior experience in Google Workspace (GMail, Drive, Docs, Sheets, Slides), Slack, Confluence/Jira, and Zoom Video is a plus.

Responsibilities

  • Represent the values, engineering culture, and innovative spirit of the product development organization to all internal and external stakeholders.
  • Manage the CTO's calendar, proactively resolving conflicts and prioritizing technical reviews, product milestones, and strategic R&D sessions to align with company objectives.
  • Keep track of important company deadlines and monitor the progress of related technical goals, providing cohesive coordination across product development teams.
  • Serve as the operational engine for the CTO by coordinating selected technical meeting agendas, capturing concise and accurate meeting outcomes, and tracking action-oriented follow-up tasks.
  • Handle all standard administrative duties for the CTO, including complex travel arrangements, expense reporting, social media, and high-priority correspondence.
  • Maintain strict confidentiality and exercise utmost discretion regarding pre-release product roadmaps, proprietary designs, intellectual property, and strategic hires.
  • Act as the primary point of contact for general inquiries, vendor proposals, finance updates, and R&D priorities on behalf of the CTO, effectively screening and directing communication.
  • Operate as the communications hub for the product development organization, ensuring absolute clarity, consistency, and alignment in technical messaging across all teams.
  • Prepare executive briefing materials, board-level technical updates, and internal engineering communications to maintain transparency and momentum.
  • Facilitate seamless collaboration between the CTO, executive peers, and cross-functional partners in clinical, regulatory, and commercial teams and external partners.
  • Organize and coordinate high-level meetings including in-person onsites to help align on technical priorities and product plans.
  • Build and refine operational workflows that improve efficiency within the product development organization and across the technology and new growth programs.
  • Maintain clear documentation and organized reporting structures to support team accountability and visibility.
  • Serve as an office leader for our corporate headquarters in Denver being onsite 2 days / week, managing day-to-day operations to cultivate a vibrant, collaborative workspace where our engineering and R&D teams can thrive.
