Requirements

  • Minimum 3 years of experience as an Administrative or Executive Assistant in a corporate environment.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong interpersonal and communication skills, demonstrating tact, professionalism, and confidentiality.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Detail-oriented with excellent follow-through and a proactive, problem-solving mindset.
  • Ability to work independently and collaboratively, supporting a fast-paced, team-oriented environment.

Responsibilities

  • Provide comprehensive administrative support for the CEO, President, and leadership team, ensuring seamless daily operations.
  • Assist in the planning and execution of bimonthly leadership meetings and other key corporate gatherings. Support work with internal and external consultants on key initiatives such as strategic planning and project management.
  • Partner with the President to plan, order, and distribute promotional materials that enhance company visibility and promote employee engagement.
  • Coordinate company events such as volunteer activities, employee luncheons, and the annual employee outings.
  • Support of real estate portfolio management. Works with accounting team to manage internal and external leases, schedules and administrative tasks.
  • Support the President with expense report processing and related administrative tasks.
  • Plan and manage travel arrangements for corporate personnel, ensuring efficient and cost-effective logistics.
  • Organize company annual meetings, training meetings and Board meetings, including agenda management, hotel selection, travel planning, meals, and entertainment.
  • Oversee property management of the Nashville corporate and branch campus including managing maintenance of front office equipment and facilities, coordinating with service vendors for security, janitorial, HVAC, plumbing, and electrical needs.
  • Manage the corporate petty cash fund and ensure accurate recordkeeping.
  • Supervise and support the Receptionist, stepping in as needed to maintain smooth front-office operations.
