About The Position

The Executive Assistant, Operations reports to the VP of Business Operations and plays a critical role in supporting senior leadership and ensuring smooth day-to-day business operations across the organization. The role provides high-impact administrative support and serves as the day-to-day administrator for the company fleet program. This hybrid role will work in our Raleigh office a minimum of two days per week, with the flexibility of working from home the remaining three days.

Requirements

  • Bachelor’s degree in business administration or a related discipline and a minimum of five years’ experience supporting senior level management, or an equivalent combination of education and experience.
  • Advanced knowledge of MS Word, Excel, PowerPoint and Scheduling programs.
  • Attention to detail and strong organizational skills.
  • Excellent judgment, independence and initiative in performing diverse set of support functions.
  • Ability to prioritize tasks and respond quickly to changing priorities.
  • Excellent communication skills, both written and oral.
  • Must be flexible to effectively support the needs and work styles of team members.
  • Ability to handle sensitive and confidential information with discretion.

Responsibilities

  • Provide administrative and operational support for the Operations Department, including handling confidential information.
  • Administer the fleet program: maintain vehicle/driver records and documentation, onboard new drivers, and coordinate vehicle scheduling and maintenance.
  • Coordinate with leasing/finance, maintenance providers, fleet administrators, and dealers on orders, deliveries, repairs, registrations/titles, renewals, and vehicle purchases/replacements/lease buyouts.
  • Support senior leaders (VP of Operations and other SLT members as needed) with calendar management, meeting scheduling, and coordination of internal/external engagements.
  • Coordinate travel, registrations, and logistics; prepare itineraries and materials for designated senior leaders.
  • Support budget and financial processes, including requisitions, invoice processing, expense coding, and accrual follow-up.
  • Assist leaders with operating budget inputs and monitoring (run-rate, forecast updates, cost centers) and maintain accurate financial records.
  • Produce reports, presentations, spreadsheets, and simple dashboards (e.g., monthly operating reviews); manage recurring deliverables (renewals, approvals, deadlines) through closure.
  • Co-create working group agendas, clearly framing decisions, risks, and dependencies and prioritizing time-sensitive topics.
  • Capture decisions and actions; maintain an action log and drive timely follow-up with owners.
  • Draft and distribute operational communications; coordinate department programs (including apparel and promotional item ordering/inventory); and support special projects as needed.
