About The Position

Based out of our Flower Mound home office, the Executive Assistant serves as a strategic operational partner to the President, CEO, CFO, and Executive Leadership team. This pivotal role ensures seamless daily operations by managing complex calendars, facilitating executive communications, serving as an effective gatekeeper, and leading key administrative initiatives. The ideal candidate thrives in a fast-paced environment and possesses the foresight and discretion needed to support executive decision-making and cross-departmental projects.

Requirements

  • Minimum of 3 years providing administrative and operational support to C-suite or executive leadership.
  • Proven track record of managing end-to-end travel logistics for multiple executives simultaneously.
  • Superior written and verbal communication skills, with demonstrated success acting as a trusted representative of leadership.
  • Advanced expertise in Google Workspace, Microsoft Office Suite, and the adaptability to master new software quickly.
  • Exceptional time-management capabilities with a proven track record of consistently meeting tight deadlines.
  • Ability to remain composed, efficient, and solution-focused in a high-velocity environment.
  • High degree of professional integrity and confidentiality when handling sensitive organizational data.

Nice To Haves

  • Direct experience supporting leadership within multi-site organizations is strongly preferred.

Responsibilities

  • Provide high-level administrative support to the President, CEO, CFO, and senior leadership.
  • Manage complex executive calendars, resolve scheduling conflicts proactively, and prioritize daily agendas.
  • Serve as the primary point of contact for incoming executive communications; review, summarize, and route inquiries to the appropriate team members.
  • Draft, edit, and finalize high-level correspondence, e-mails, reports, and presentations.
  • Coordinate complex domestic and international travel arrangements, itineraries, and accommodations for executive leadership.
  • Schedule, prepare, and attend executive and leadership meetings and track action items through completion.
  • Support strategic executive initiatives and special projects from inception to implementation.
  • Oversee office administration tasks, including, supply inventory, expense and invoice processing.
  • Maintain office facilities to ensure a professional environment, including stocking break rooms and managing vendor relationships.
  • Perform additional operational duties as needed to support executive goals.
