About The Position

Schedule appointments, provide information to callers, coordinate travel, and assist executives with special projects. This role involves administrative support to the President and CEO, including managing correspondence, scheduling, event planning, travel arrangements, and record-keeping. The Executive Assistant will also support writing projects, special projects, manage meeting spaces, and provide assistance to the Project Management Office (PMO) and Board Committees. Ensuring activities comply with Atec International Standards Organization (AS9100/ISO) policies is a key responsibility.

Requirements

  • Bachelor’s degree from four-year college or university; or five (5) or more years related experience and/or training; or combination of education and experience.
  • Notary Public preferred.

Responsibilities

  • Read and route incoming mail.
  • Compose, type, and review executive correspondence.
  • File correspondence and maintain electronic records.
  • Schedule appointments.
  • Plan Events.
  • Oversee and arrange travel schedule and reservations, in accordance with Atec policy and procedures.
  • Record minutes of staff meetings.
  • Create and update Atec forms.
  • Provide Atec-wide support for writing projects and special projects.
  • Manage meeting spaces and hospitality for meetings and Atec guests.
  • Attend meetings and special events for the Executive Team.
  • Provide assistance to the Project Management Office (PMO).
  • Provide assistance to Board Committees.
  • Perform other related duties, as assigned, for the purpose of ensuring an efficient and effective work environment.
  • Ensure activities are conducted in accordance with Atec International Standards Organization (AS9100/ISO) policies and correct and report any deviations to appropriate area manager/supervisor.
  • Monitor personnel to ensure activities are conducted in accordance with Atec AS9100/ISO policies, and correct and report any deviations to appropriate area manager/supervisor.
  • Be familiar with and understand Atec Quality Policy and company objectives.
  • Understand required AS9100/ISO specific Procedures and Work Instructions.
  • Complete all records required by Procedures and Work Instructions.
  • Participate in Atec Continuous Improvement activities as appropriate (including Strategic Planning, AIM, Suggestion box, etc.).
  • Participate in AS9100/ISO training as required.
  • Cooperate with Auditors.
  • Report any deviations to appropriate area manager/supervisor.
