The Executive Assistant will efficiently manage complex scheduling and calendars, compose and prepare highly confidential correspondence, arrange detailed travel plans, itineraries, and agendas, and compile documents for travel-related meetings. This role requires handling highly confidential and sensitive information with the utmost discretion. The Executive Assistant will research, prioritize, and follow up on incoming issues and concerns, determining the appropriate course of action, referral, or response after consultation. Responsibilities include preparing background information, agendas, and supporting documents for scheduled meetings, functions, and engagements, anticipating information needs and ensuring readiness. This includes coordinating conference room reservations, meeting set-up and implementation (including technology), and vendor management. The role involves prioritizing and coordinating communication and initiatives among senior leadership, executive committee members, and other departments across the organization. Drafting emails, letters, reports, memorandums, and other documents with clear and concise business writing is essential, along with strong business acumen and effective communication skills, whether digitally, over the phone, or in-person. Establishing and maintaining trusted relationships with senior executives and team members across the organization is key. The Executive Assistant will work independently with minimal guidance, exercising sound judgment and anticipating departmental needs, and will manage a variety of special projects.
