About The Position

Volt is immediately hiring an Executive Assistant in New York, NY. This is a Full Time opportunity. As an Executive Assistant, you will provide high-level administrative support to 2–3 senior leaders, including calendar management, meeting coordination, and resolution of scheduling conflicts. You will also manage travel arrangements, including booking through American Express, and process expenses accurately and timely. Support daily communication with senior leaders, direct reports, internal stakeholders, and external contacts with professionalism, tact, and confidentiality. Coordinate meetings, workshops, conferences, team events, and other leadership activities, including logistics and materials preparation. Prepare, review, and edit correspondence, memoranda, reports, presentations, and other confidential documents. Manage special projects, conduct research, compile information, analyze data, and summarize findings for reports and leadership communications. Additionally, you will help onboard new employees, maintain distribution lists, manage office supplies, and support ad hoc administrative needs.

Requirements

  • 3–6 years of experience supporting executive leadership or senior-level management.
  • Strong calendar management, travel coordination, expense processing, and administrative support experience.
  • Excellent written and verbal communication skills with the ability to adjust communication style for different audiences.
  • Ability to handle highly confidential and sensitive information with discretion.
  • Strong organizational skills with the ability to multitask, prioritize, and work independently.
  • Approachable, professional, flexible, and able to receive and apply feedback.
  • Proficiency with Microsoft Office applications.
