About The Position

Expel is growing its administrative team to support its executive leaders and their mission. This role involves managing details, making decisions, organization, execution, and collaboration. The ideal candidate will enjoy problem-solving, critical thinking, and finding better ways to do things. This position offers the excitement of partnering with executives and an admin team to achieve company-wide goals. You will join a fast-paced, versatile Admin & Office Experience (AOX) team that supports the highest priorities of Expel's executives. Specifically, you will directly support the Chief Marketing Officer, Chief Strategy Officer, and their organizations. Additionally, you will contribute to executing company-wide engagement initiatives alongside the AOX team. Your skills and experience will be invaluable in elevating the standard of operations. The ideal candidate will be entrusted with managing a wide range of responsibilities to support both c-level executives and broader company objectives. This role requires a demonstrated track record of taking ownership, asking pertinent questions, and the ability to work both independently and as part of a close-knit team to consistently deliver results. In this fast-paced environment, we need someone with a sharp eye for detail, sound judgment, and the steady presence required to balance executives, their teams, and company priorities. You will handle sensitive information and high-visibility work, and your approach will shape the executive team's experience with our administrative support.

Requirements

  • 2+ years of professional experience supporting c-level executives
  • 4+ years of professional experience
  • Polished organizational skills, reflecting the ability to prioritize, plan, and execute multiple urgent tasks seamlessly
  • A positive, team-first attitude - we rise by lifting others
  • Proficiency in Google Workspace in conjunction with strong writing, proofreading, and editing skills
  • Self-motivated with strong time management skills and a bias toward action
  • Comfort working with incomplete information, and the judgment to know when to move forward and when to ask
  • Confidence in asking questions and seeking guidance when necessary
  • A willingness to embrace change and maintain a mindset of continuous learning
  • A keen eye for efficiency, consistently looking for ways to improve the processes you touch
  • An exceptional attention to detail
  • Strong communication skills with the ability to effectively provide and receive feedback from both executives and other team members, fostering a collaborative and transparent working environment
  • Ability to be concise with communication, verbally and in writing, with technical and non-technical audiences
  • An understanding of the importance of follow-up and task completion in the wake of (sometimes constant) interruptions
  • Comfort using generative AI tools to work faster and smarter - or curiosity about learning
  • Ability to adhere to ET work hours and support executives in varying timezones

Responsibilities

  • Provide dedicated executive support to one to two c-level executives and their organizations, ensuring seamless workflow management
  • Manage complex, dynamic executive calendars, surfacing scheduling conflicts, proposing solutions, and ensuring agendas are well-organized and communicated
  • Look for ways to optimize executive time, taking recurring tasks off their plate as you build context on their priorities
  • Exercise sound judgment; know when to decide independently and when to escalate, and own the results of both
  • Support special projects that improve the AOX team's efficiency, including project tracking and process documentation
  • Help organize and execute high-quality events for executives and their teams, working within department-specific budget considerations
  • Assist in drafting communications, managing follow-ups, taking detailed notes, and tracking action items to ensure timely execution of tasks and priorities
  • Engage clearly and professionally in both verbal and written communication with your executives, the broader AOX team, company-wide departments, and external stakeholders (i.e. customers, partners, prospects, and vendors)
  • Establish strong relationships with employees and external stakeholders, creating memorable interactions and fostering engagement
  • Manage travel arrangements and associated logistics, ensuring executives have all necessary details and documents for smooth travel, including hotel bookings, flight arrangements, and other applicable details
  • Assist with recruiting coordination for VP and c-level candidates as needed, including interview scheduling and travel accommodations
  • Serve as a backup for other Executive Assistants, stepping in as needed to maintain operational continuity across the executive support team
  • Maintain a high level of confidentiality and discretion at all times
  • Provide a variety of other department-specific support as needed
