About The Position

Miratech is seeking a highly organized and proactive Executive Assistant to provide primary support to the Executive Vice President Global Delivery, while also assisting the wider delivery leadership team as needed to ensure client commitments are met and operations run smoothly. Sitting at the heart of the delivery organization, this role will help maintain and improve the internal processes that keep delivery leadership effective, coordinate the flow of information between delivery teams, leadership, and clients, and ensure delivery priorities stay aligned with organizational goals and commitments.

Requirements

  • 5+ years of experience in an executive assistant or senior administrative role reporting directly to upper management, ideally supporting delivery, operations, or client-facing leadership.
  • Demonstrated achievements supporting C-suite and board-level executives, with strong organizational skills to manage multiple priorities and stakeholders.
  • Exceptional written and verbal communication skills in English, knowledge of Spanish, Ukrainian, or Russian is considered a plus.
  • Ability to maintain strict confidentiality and handle sensitive company and client information with discretion.
  • Proven experience managing international executive travel, including flights, accommodations, visas, itineraries, travel budgets, and expense administration.
  • Proficiency in Microsoft Office and other productivity and collaboration tools, with an aptitude for learning new software and systems; familiarity with delivery or project environments (e.g., project governance, milestone tracking, client reporting) is a strong advantage.
  • Flexible, proactive team player comfortable in fast-paced, high-growth environments, confident working with remote and distributed teams across multiple time zones.

Responsibilities

  • Manage the EVP Global Delivery's calendar, scheduling internal and external stakeholder meetings across multiple time zones, resolving conflicts, protecting focus time, and flagging requests that require urgent attention.
  • Arrange and manage all travel for the EVP Global Delivery, including flights, hotels, transportation, and visas where needed, preparing detailed itineraries for client visits and site engagements and processing expense reports with accuracy and discretion.
  • Act as a point of contact between the EVP Global Delivery, the Executive Committee, and delivery teams, routing requests to the right people, communicating decisions and priorities, and coordinating distributed teams across time zones.
  • Prepare the EVP Global Delivery's materials for Board and Executive Committee meetings, collecting inputs from delivery teams, assembling and formatting the meeting pack, recording minutes, and tracking resulting action items through to completion.
  • Support the delivery leadership meeting cadence by building agendas, collecting and distributing pre-read materials, taking minutes, and following up with action owners until every item is closed.
  • Maintain a consolidated tracker of delivery commitments, including project milestones, client deliverables, escalations, and cross-functional dependencies, providing the EVP Global Delivery with regular status reports that highlight items at risk, while handling sensitive information with strict confidentiality.
  • Perform other responsibilities as reasonably required in alignment with the purpose of the role.
