About The Position

San Diego’s St. Paul's PACE program (Program of All-Inclusive Care for the Elderly). This innovative program is for individuals 55 years or older, who are living with chronic illness, or disabilities and need coordinated medical care to continue living as independently as possible in their home and community. The healthcare teams at St. Paul’s PACE provide a hands-on approach coordinating medical, social, and home care services so individuals no longer need to manage their medical care alone. Job Summary: The Executive Assistant provides high-level administrative and organizational support to Executives and members of the leadership team. This position ensures efficient day-to-day operations, manages executives schedules, supports initiatives, and coordinates communication across internal and external stakeholders. The Executive Assistant upholds the mission of the Company by ensuring leaders can focus on strategic goals, compliance, and resident/participant-centered care.

Requirements

  • Education: Associate’s or Bachelor’s degree in Business Administration, Healthcare Administration, or related field preferred.
  • Experience: Minimum 3–5 years of experience as an Executive Assistant or in an administrative support role (healthcare or nonprofit experience preferred).
  • Skills & Competencies:
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with electronic record systems.
  • Ability to work independently and collaboratively with diverse teams.
  • High degree of professionalism, discretion, and confidentiality.
  • Knowledge of healthcare regulations, PACE program structure, or senior care services preferred.
  • YOU MUST BE ABLE TO CLEAR FINGERPRINTS THROUGH DOJ AND FBI IN ADDITION TO A DRUG SCREEN CLEARANCE.

Responsibilities

  • Provides day-to-day administrative support to executives and leadership team.
  • Manage calendars, schedule meetings, and coordinate appointments for the executives.
  • Prepare correspondence, reports, presentations, and meeting materials with accuracy and professionalism.
  • Support initiatives, including scheduling meetings, preparing agendas, recording minutes, and maintaining corporate records.
  • Serve as a liaison between executive and internal departments, external partners, vendors, and community agencies.
  • Coordinates travel arrangements, expense reports, and reimbursements for executives.
  • Track and support project deadlines, compliance reporting, and deliverables.
  • Maintain confidentiality of all sensitive organizational, participant, and personnel matters.
  • Organize and maintain electronic and paper files, ensuring accessibility and compliance with regulatory standards.
  • Assist with special projects, events, and organizational initiatives as assigned.
  • Provides mentorship and guidance.
