About The Position

Agemark is seeking a highly organized and proactive Executive Assistant to support our CEOs and executive leadership team. This role plays a key part in keeping daily operations running smoothly while supporting high-level coordination across the organization. Requirements

  • 2+ years of experience supporting senior leaders in an Executive Assistant or similar role
  • Proven experience managing complex, high-volume calendars
  • Experience coordinating meetings, travel, and logistics across multiple stakeholders
  • Strong organizational and time management skills with the ability to stay ahead of priorities
  • Ability to work independently and handle sensitive information with discretion
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook)

Responsibilities

  • Manage complex calendars across multiple executives, including shifting priorities and competing demands
  • Coordinate travel, itineraries, and meeting preparation
  • Anticipate needs and proactively resolve scheduling conflicts
  • Assist with reporting, data gathering, and administrative projects
  • Maintain internal directories and administrative records
  • Serve as a primary point of contact for the office
  • Support day-to-day office coordination and internal operations
  • Manage conference room scheduling and office logistics
  • Order supplies, coordinate vendors, and maintain organization across the office
  • Assist with document preparation and administrative processes
  • Support planning and execution of internal meetings and company events
  • Coordinate logistics such as scheduling, materials, and communication
  • Assist with event preparation and follow-up
