About The Position

Reporting to the Maamwesying Ontario Health Team Operations Manager, the Executive Assistant provides critical administration, coordination, and project management support to assist in meeting strategic and organizational objectives, while maintaining operational performance and accountability requirements. This position is responsible for supporting the efficient organization, functioning and project support to the Maamwesying Ontario Health Team.

Requirements

  • Post-secondary education in Business Administration, Health Administration, or a related field.
  • Minimum three (3) years of experience providing executive-level administrative support to senior leaders or directors.
  • Advanced proficiency in Microsoft 365 applications, including Word, Excel, Outlook, PowerPoint, Teams, Forms, and SharePoint.
  • Experience coordinating virtual meetings and providing basic technical troubleshooting support.
  • Experience maintaining SharePoint sites and managing electronic document filing systems.
  • Experience supporting financial and administrative processes, including invoice tracking, expense reconciliation, procurement coordination, and financial documentation.
  • Demonstrated ability to handle highly confidential and sensitive information with discretion and professionalism.
  • Strong organizational, planning, time management, and critical thinking skills.
  • Proven ability to prioritize competing demands and manage multiple projects within tight deadlines.
  • Excellent judgment, problem-solving skills, and attention to detail.
  • Strong interpersonal, written, and verbal communication skills.
  • Experience coordinating meetings, events, travel arrangements, and logistics.
  • Ability to build and maintain effective working relationships with internal and external partners.
  • Experience with project coordination and tracking deliverables, timelines, and action items.
  • Demonstrated interest in continuous improvement and identifying opportunities to enhance administrative and operational effectiveness.

  • Valid Ontario driver's licence and access to a reliable vehicle.
  • Ability to provide a satisfactory Criminal Record Check as a condition of employment.

  • Ability to speak Ojibway is considered an asset.
  • Experience in a healthcare, Indigenous, public sector, or not-for-profit environment is considered an asset.
