About The Position

HBK Capital Management is searching for a highly organized, resourceful, and detail-oriented Executive Assistant to provide dedicated support to a senior executive of the firm. This is a high-trust, high-visibility role for someone who thrives in a fast-paced environment and takes genuine ownership of their work. The ideal candidate is a proactive, polished professional who anticipates needs before they arise, exercises excellent judgment independently, and understands that seamless execution — down to the smallest detail — directly impacts the effectiveness of the executive they support. This person will be part of a team of highly valued Executive Assistants who embody HBK's collaborative, dynamic, and engaging culture and support the firm's day-to-day operations.

Requirements

  • 3+ years of experience in an executive support role
  • Exceptional attention to detail and the ability to catch what others miss and take pride in doing so
  • Professional presence with a high degree of energy and enthusiasm
  • Excellent verbal and written communication skills, with a desire to build relationships with internal and external stakeholders
  • Highly collaborative team player, with the confidence to interact one-on-one with senior leaders and intermediaries when necessary
  • Proactive by nature, anticipates needs, follows through without being asked, and stays two steps ahead
  • Must be thoughtful and creative when needed with a "can do" attitude, with no task too big or too small
  • Strong independent judgment, particularly when it comes to prioritization and decision-making in ambiguous situations
  • Exceptional customer service focus, including attention to detail and producing quality results
  • Must exhibit a high degree of integrity and discretion when it comes to safeguarding confidential information, both professional and personal
  • Strong desire to embody HBK's culture and contribute to the organization's reputation and success
  • Proficiency in MS Office, including Outlook and Excel

Responsibilities

  • Own and manage a complex, high-volume calendar, scheduling, coordinating, and prioritizing all internal and external meetings with precision and proactive follow-through
  • Plan and execute all business travel arrangements. Sound judgment and attention to the details that matter most are essential here
  • Assist with meeting preparation, general notetaking, and following up on action items and ongoing projects to keep initiatives organized and on track
  • Provide discreet, thoughtful assistance with selecting personal administrative matters, including coordinating vendors and contractors, organizing records related to properties and assets, and managing various household and property-related logistics, all handled with a high degree of confidentiality and care
